Matching payouts in QB online

Hi~ I am trying to match transactions with payouts. My bank is linked with QB and all payments from Shopify are synced with QB online. oneSaas had to resync my account as we switched bank accounts of where the payments were being deposited. Since the new resync, I am now not able to match transactions with payouts. It says not transactions can be found. Can someone please help? 

QB chat gave me these suggestions 

To settle your accounting, add each payout to your accounts. We'll help you match each transaction to your bank deposits.

I can help you get the transactions and match them accordingly in QuickBooks Online.

 

QuickBooks always depends on what your bank share with us. Since you've updated a bank account, we can manually disconnect and reconnect the application to refresh the system and its connection within QuickBooks. If you haven't tried it, here's how: 

 

  1. Go to the App menu and select My apps.
  2. Choose Shopify and click Disconnect.
  3. Once done, we'll have to go back to the Apps section. 
  4. Find and install Shopify Connector by QuickBooks. 
  5. Select Connect.
  6. You be redirected to the Connections tab in QuickBooks Connector (OneSaas).
  7. A new page will pop up on your screen. It will ask you to enter the domain URL. Once done, select Connect to Shopify.
  8. Follow the on-screen instruction to complete the process.

 

If you got the same outcome, let's review the transactions by accessing an incognito window. This mode doesn't store cache and old files, which helps us use QuickBooks efficiently.

 

  • For Chrome, press and hold Ctrl + Shift + N.
  • For Firefox, press and hold Ctrl Shift P.
  • For Safari, press and hold Command Shift N

 

If still the transactions aren't recorded within QuickBooks, we can follow the suggestion shared by our chat support in the meantime. This can keep your bank data accurate from what you have in your provider or bank statement.

Thank you for your help. I was able to reconnect to Shopify and the payments were imported into QB and they could be matched. 

 

It is a bit different now as all of the deposit/payment information is appearing in the “app transactions” portion of the banking area. When I do to this section I can then click add and the transaction is automatically matched to the transactions imported from the bank account. I wanted to confirm if the payout information (deposit, invoice #, sales tax, shipping, refunds)will appear in the reconcile area or appear in the account if my accountant needs to review? I used to manually input this information, so it would be amazing and save me so much time if this information is automatically added. Please see below. THnaks, Wes

I'm glad you're able to reconnect Shopify to QuickBooks Online successfully, @weslaughton.

 

Your Shopify payouts will be matched against deposits in the bank feeds. Payout info depends on what's acquired from the app. You'll want to verify it by clicking the link under the Added/Matched column. 

 

Here's how:

 

  1. Go to Banking and select App transactions.
  2. In the Reviewed tab, open a transaction by clicking the link under the Added/Matched column.
  3. You may add any necessary info. 
  4. Click Save and close.

 

You may also review your transactions or make quick edits right from your account register. It has filtering and sorting tools that speed up your search.

 

Additionally, these transactions are already marked on the Reconciliation page, speeding up the bank reconciliation process. The screenshot below shows you the available columns you can view or add.

Thanks for your help. This makes sense. So just to confirm, the payouts that are in the bank feed will be matched to the payouts imported directly from Shopify to QB? I don't need to manually find a match to each invoice because the information is listed in the app transaction?

 

I have specified what information needs to be acquired by the app. Taxes, shipping, etc. 

 

will this information calculate sales tax reports?

 

Also since this information is importing does that mean the onesaas app is working

Yes, you’re correct! Since every transaction is syncing to your QuickBooks Online (QBO), your OneSaas application is working well. To address your concern about matching transactions, every transaction synced from your Shopify account to QuickBooks Online (QBO) will reflect in the App transactions window. That said, you’ll only have to click the Add or Match under the Action column to match them.

 

Moreover, regarding the sales tax reports, QuickBooks will calculate sales taxes as long as it is mapped correctly upon integration. Therefore, generating sales tax reports are available. Regarding that, we have also received reported issues about sales taxes being unavailable when pulling up reports. With this, our product engineers are already investigating this matter and diligently working on a fix to seamlessly get you back to business.

 

If you’re experiencing the same diagnosis mentioned above, this may be caused by the ongoing issue. Hence, you can contact our Technical Support Team to ensure you get added to the list of affected users and get updated via email once a fix is available.

Hello, weslaughton.

 

Let me provide additional information and help you get back to business. 

 

The Sales Tax Liability report displays the following information:

 

  • your company's total sales
  • how much is taxable
  • at what rate
  • how much sales tax is currently due to be paid

 

The Reporting Method you set up for your sales tax setting will matter how QuickBooks pull up your payables. When you choose a Cash basis, this will show the profit or fees based on the payment date of your invoices and bills. On the other hand, the Accrual basis shows the income and expenses based on when you sent your invoices or got your bills.

 

We need to make sure to filter only the paid invoices and include the Tax Amount and Taxable Amount columns. 

 

Also, In the Sales Tax Liability report, only the invoices with taxable and non-taxable items will show under Gross Sales in QuickBooks Online (QBO). However, if the invoices have only non-taxable items, they will not show in the Gross sales section. This causes the gross amount doesn't equal the total sales for that period(tax and nontax). If matched make sure to assign the tax invoice within QuickBooks while if added categorized properly to the affected account.

Once done customizing, you may want to consider memorizing the report. Doing so helps you save the current customized settings in QuickBooks Online.

Thanks for getting back to me; I appreicate it. Our sales tax report has always been calculated correctly until this month. We just switched over the the QB commerce App as we used to use OneSAAS. We got a new bank and where our payouts are received in QB. Would this affect how the sales tax report is calculated?

 

Do I need to manually make changed to the report so it reflects where the new payouts are going

The sales tax report worked for November 2022 and the bank deposit has already changed. I just ran the report again for the Sales Tax for Nov 2022 nad it is different now. Can you please let me know if you can see why there is a difference. The first amount the the report I ran before I switched over to QB Commerce. And the second report is what is says now. To start, changing or updating your bank account will not affect how your sales tax report is generated, as QuickBooks will automatically calculate the total tax rate for each sale based on the following:

 

  • Your customer's tax-exempt status
  • Where you sell and where you ship
  • What you sell

QuickBooks separates the revenue from taxes and fees from Shopify and seamlessly maps it to your books. If there are no tax liabilities, check again the sync. They're may be not imported or categorized.

 

If everything looks good from the sync, you may want to contact our QuickBooks Online Team. They can check why taxes won't show up on the report.

 

Get a detailed look at the taxes you owe and why you owe them by running the Sales Tax Liability report. This helps you make sure everything is accurate before you file and pay your sales tax return.
