The main reasons why the net pay transaction from your bank isn’t finding a match in QuickBooks Online are mostly related to small discrepancies, posting issues, or date mismatches.
QuickBooks Online requires an exact match between the bank transaction and the paycheck or journal entry recorded in the system. If the underlying payroll transaction was recorded in a different account, such as a Payroll Clearing account, instead of the main operating bank account, QuickBooks won’t find a match. If the dates between the bank feed and the recorded transaction are significantly far apart, it will not suggest a match automatically.
To resolve this, you need to manually find and force the match:
If the payroll transaction is posted to the wrong account, you need to adjust your payroll settings and accounting preferences. This ensures future payroll runs are mapped correctly to your bank account. For the existing transaction, manually edit the paycheck or journal entry to assign it to the correct bank account before attempting to match it.
