Payroll Direct Deposit vs. Payroll Expense: Wages

For some reason in September of 2021 I noticed some changes in how transactions download from our bank to my Quickbooks Online system. Around that time until about January I kept getting an error that QB could not connect to my bank and would not download anything. Now that the bank connection is working I have September through December to clean up for tax filing. Originally we would see each direct deposit I could match them easily and move on. Now when I download the feed multiple things are happening. 

 

  • The original Direct Deposit amount shows with the date. It normally contains a description like: PAYROLL 15268318 PAYROLL COID446 PAYROLL 15268318 PAYROLL COID4462800242 - This one lets me find a match and confirm.
  • The original Direct Deposit shows AGAIN with the same date but under the description column it shows "Payroll Coid", this one will not match (because I already matched the original transaction. 
  • The same exact Direct Deposit shows again but with Net pay numbers broken out like a separate transaction for bonuses. 
  • The transaction downloads AGAIN but in 2 separate transactions based on employees who are depositing to multiple accounts. 

 

Why is this happening? Is there a fix? I realize I can exclude the net bonus download and the separate deposit account downloads, BUT do I need to keep the Second transaction labeled "Payroll Coid" and apply it to a wages expense account?

 

When I review my Chart of accounts Bank Register (of the account all these transactions come from) I can see the direct deposit transaction AND the Payroll expense transaction. Do I need both? I have contacted support too many times to count. I have tried Chatting and Calling. None of the helpers seem to understand what I am explaining or ASKING. I have even used Glance and Smart Look to show them BUT I still don't know if I should save all the Payroll COID transactions under an expense account or exclude them. 

 

Please HELP, I really want to finish these 2021 transactions so that we can file company taxes.

Keeping your payroll account and transactions updated in QuickBooks Online (QBO) is my priority, @Tanya45. That's why I'm here to guide you about this.

 

Your payroll setup determines the accounts used to record payroll expenses. You'll have to make sure the transactions from the bank are reflected properly in QuickBooks to credit the liability accounts. You need both the direct deposit and the payroll expense transaction if they're recording different payroll data.

 

With this, you need to match your downloaded transactions to the existing entries in QBO to avoid duplicates. To do this, here's how:

 

  1. Go to the Banking menu or Transactions menu.
  2. Select the tile for the account you want to review.
  3. Go to the For review tab.
  4. Select the downloaded transaction to expand the view.
  5. Review the Matching records found in QuickBooks or select the Find match section.
  6. Select the link next to each match to get more details.
  7. Make sure this is the correct match. In particular, review the Deposit toPayment method, and Bank account fields on forms for the existing transaction in QuickBooks.
  8. Click Match.
