QuickBooks Essential:There's a finance charge and late fee on old credit card that didn't download with my statement . How to account for these and then reconcile?

This is QuickBooks essential -- there is no area in reconciling to enter fees or finance charges, as it seems there are for other versions of QB. This is an old statement, too, so it isn't an issue of the charge not registering yet.

When you reconcile an account that is connected to online banking, the Service ChargeInterest Earned, and Finance Charge(credit cards) fields are no longer displayed because these entries are downloaded automatically (see screenshot below).

 

 

Since the information didn't download, you will need to add these entries manually to account for the transactions. Here's how to record a Bank Service Charge:

 

  1. Choose Plus (+) icon and then select Check.
  2. Leave the Payee field blank.
  3. Select the Bank Account that has a service charge.
  4. Uncheck Print Later.
  5. Enter the Check #.
  6. Select your Bank Service Fees account.
  7. Enter the Amount of the charge.
  8. Choose the Save and Close button to record the transaction.

For the detailed instructions on how to record a finance charge:

  1. Choose the Plus (+) icon and then select Expense.
  2. Leave the Payee field blank.
  3. Select the Credit Card account that has a finance charge.
  4. Enter the Date the finance charge posted to the credit card statement.
  5. Select the Account where you post your credit card finance charges.
    Note: If you don't have such an account, type in the name you want and press Enter. You'll get a New Account interview screen, choose the account type Expense and select Bank Charges as the type of expense.
  6. Enter the Amount of the charge.
  7. Select the Save and Close button to record the transaction.
