How to edit a system recorded deposit

A customer used the wrong account number to do a bank transfer to make a payment on an invoice. The bank canceled it after it was deposited. QB then took the amount out of my account and charged it to QB fees. I can create a new invoice to get paid, that is no issue. The problem is that when I click on Invoices, it says this invoice needs attention., How do I get rid of that message? QB deposited the money and then took it out. So there is no issue with my bank account. I just don;t want to see that message all the time when I check my invoices. There is no way to edit the deposit because there were multiple payments on one deposit.

How to edit a system recorded deposit

You can remove the Needs attention error message by recording the returned payment  using the Journal Entry method, Doc.

 

First, we'll need to create a Journal Entry affecting Accounts Receivable (A/R) to link the returned payment and reopen the invoice. In this process, we won't need to edit the deposit that includes the returned payment. 

 

You can follow the steps below:

 

  1. Create a new Journal Entry (JE).
  2. Set the Journal date as the payment bounce date.
  3. In the Account column on the first line, select Accounts Receivable.
  4. Enter the amount of the bounced payment in the Debits column.
  5. From the Name column dropdown, select the customer's name.
  6. On the second line, select your bank account in the Account column. The amount will automatically populate the Credits field.
  7. Add a clear Memo to explain the reason for the journal entry 
  8. Once finished, click Save.

Next, we'll want to unlink the original payment from the invoice and link it to the journal entry you've created.

 

Here's how: 

 

  1. Go to your customer's profile.
  2. In the Transaction List, locate returned payment and click on View/Edit.
  3. Untick the invoice to unlink the payment from it.
  4. Place a checkmark next to the JE.
  5. Review other details, and then Save and close.

After the process is complete, the invoice will be reopened and the error message will be removed. From there, you can directly resend the same invoice to your customer for payment.
