Matched bank deposits showing up in Payments To Deposit quickbooks account?!

Hi,

 

I am super confused, and unfortunately hitting brick walls with Quickbooks "support".

 

We have an integration with Dubsado that pushes invoices and payments into Quickbooks. We have our bank connected too, and when we have bank transactions to categorize we do the following:

 

1. Got to Transactions - Bank Transactions

2. I click on the Bank and the transaction that's not categories

3. Click on Match and find the payment that is on the Invoice. If Stripe fees are involved, we click Reconcile and add a line item for Merchant Account Fees and the correct amount

4. Click on Match.

 

This is fine, but then I find both the Payment and the Deposit (that the above process created) in the Quickbooks Payments to be deposited account. 

 

I'm super confused as it has already been deposited obviously! How do I fix this?

Thanks for sharing a detailed concern here in the Community, Nneka.

 

Allow me to share some insights about this matter and ensure this gets sorted out.

 

Once your invoices and payments from Dubsado sync with QuickBooks Online, all payments are deposited into the Undeposited Funds (UF) account. It's the reason why the matched payments show in the Bank Deposit window.

 

To rectify this, we'll have to undo the matched entries. Then, deposit the transaction first. Once done, you can start categorizing them again.

 

You can follow these detailed steps to undo the categorization:

 

  1. Go to the Transactions menu and then select Bank transactions.
  2.  Click the Categorized tab.
  3. Locate the entries from the list.
  4. Hit Undo.

After that, perform these instructions to deposit the payments:

 

  1. Go to + New and then click Bank Deposit.
  2. From the Account drop-down menu, choose the account you want to put the money into.
  3. Select the checkbox for each transaction you want to combine.
  4. Make sure the total of the selected transactions matches your deposit slip. 
  5. Hit Save and close or Save and new.

Once everything is all set, you can start categorizing the transactions.
