I have a Chase credit card account that has two cards. One card (Monica) is the main card. The second card (Dennis) is an employee card. Quickbooks does not track these properly. I've done some research to try and figure out a solution but I need help. I wanted to just remove the main card since it isn't used but then I realized that Quickbooks is only pulling the bank balance from the main card. What is the proper way to handle this? Is there a way to properly handle both cards?
I noticed that even though Monica's card isnt being used, it is using the bank balance and applying all payments to that card, even though the transactions appear on the employee card. I saw a video on youtube where it says I could create a new account in chart of accounts and then move both cards under that account. That made sense. However, I am unable to complete what was shown in the video becauase I get an error saying I cannot make the main card a sub account because it is already in the bank feed. So something changed because he clearly did it in the video and now it appears there is no proper way to handle this.
Please help?
Accurately tracking business expenses for your credit cards is crucial, @Lawnkingoftexas. You mentioned encountering challenges with tracking transactions for your Chase credit card accounts and differentiating between the main card (Monica) and the employee card (Dennis). I recognize that this situation can be challenging, and I appreciate your efforts to seek a solution. I want to ensure I provide the details to resolve this.
Based on your description, all transactions and payments are currently being applied to Monica's card. Please know this behavior is expected if your bank provides a single statement for Monica's and Dennis' cards since the total balance and transactions roll up to the main account. I recommend contacting your bank to find out if they provide a single statement for all cards or separate statements for each card. This will help you set up your accounts correctly in QuickBooks Online (QBO). For more info, check out this article: About bank or credit card subaccount setup.
Next, since I haven't seen the video, I can't confirm moving your main card as a subaccount is a viable option. However, it is possible, although there's a prerequisite before doing it: the subaccounts or the main card should be disconnected from online banking first. If not, you'll encounter an error message as in the image below:
While I don't immediately recommend this before verifying with your Chase bank, you'll want to disconnect the card connected to online banking before moving your cards. You can follow these steps to disconnect an account connected to online banking:
