What is the mistake and why QB shows me two same numbers as deleted and reconciled at the same time?

It seems that I have a problem with reconciliation and can't figure it out on my own. When I enter into the Reconciliation discrepancy report, I get the list. I have a $ 10,000 Expense, marked two times, change type Reconciled in Register, and second time very same amount, change type Deleted. It seems that the two offsets each other. When I go into the bank register, everything is ok, this expense is recorded and reconciled. What is the mistake and why QB shows me two same numbers as deleted and reconciled at the same time?

I’m here to help determine why two numbers show as deleted and reconciled. Let’s build the Audit Log Report to check the transaction history.

The feature mentioned above gives you a clearer picture of who made some changes to your account or entries. This tool is built-in in QuickBooks Online (QBO) and using it is easy.

Here’s how:

  1. Go to the Gear icon at the top of your company to choose Audit Log.audit.png
  2. This will open a page that shows the activities performed in your company.
  3. Click the drop-down for Filter to sort the data.audit.1.png
  4. Input the date you want to view the report.
  5. In the Events section, tick the radio button for Show All Events button and then click on Apply to view the complete details.
  6. From the list, look for the amounts and press the View link to see who deleted the other number.audit2.png
  7. On the Audit History page, you’ll see the user and the date the entry was deleted.audit3.png

To learn more about this feature, you can browse this article: Use the audit log in QuickBooks Online. It provides information on all account activity in the audit log such as user sign-ins, changes to QuickBooks settings, and edits to customers, vendors, and employees.

When classifying your transactions, make sure they're properly categorized. This affects how they’re shown in your account. Here’s an article that tackles how to: Categorize and match online bank transactions in QuickBooks Online.

For additional resources, the following link provides information about the reconciliation process: Reconcile an account in QuickBooks Online. It includes instructions on how to do the tasks for accounts that are connected to online banking.

Drop a comment below if you still have concerns about reconciling your account. I’m more than happy to answer them for you. Have a good one.
