Scanning incoming checks

Hello, I'm helping a charity get set up with QBO. We have one physical office, and our finance committee and accountants are volunteers scattered across the US.

This means all our supporting documents need to be available inside QBO.


We have a large amount of incoming paper checks coming to the office; I am looking for a way to scan them into QBO at time of receipt, so that we can process it then and there.

I have thought of the following thoughts:
1) I have read about the ability to scan a receipt and it generates an expense; and this is simply the reverse of that; like scanning a sales receipt rather than a purchase receipt.
2) On that note - is there a facility to scan (or email) an incoming PO? Because we could also process this as an incoming PO.

Any ideas?

Scanning incoming checks

Hi, @al-cch. Let me share additional information about scanning receipts to QuickBooks Online (QBO).

 

You're right. At this time, the system allows you to scan and email expense receipts and bills to QuickBooks from your computer or portable device. Here's how:

 

  1. Take a picture of your bill or receipt on your mobile device. The photo's file type must be a pdf, jpeg, jpg, gif, or png, and make sure each image or file contains only one receipt.
  2. Email the image to your custom email address @qbodocs.com. It may take a few minutes to send. You can send multiple receipt images in one email. The email attachment's file size must be between 46KB to 20 MB.

 

You can also upload them to QuickBooks by installing the QBO app for iOS or Android.

 

For income transactions, you have to record the entries manually for now. Or, prepare an Excel CSV file, then upload it to QuickBooks.

 

For purchase orders (PO), you can also track the transactions from the +New icon.
