Square Import on Discounts Calculates incorrect Tax

We've discovered an issue with imports from Square into Quickbooks online which is a massive issue.

 

Specifically the Square sales reports have GROSS sales, then Refunds, Discounts, and NET sales. The sales tax on the sales report from Square is correctly calculated on NET sales after refunds and discounts given.

 

However, when these are imported into Quickbooks online, the discounts are NOT properly inserted into the DISCOUNT field on the sales receipts and they are entered as a negative line item without the TAX checkbox ticked. This means QBO sees the "Taxable amount" as the sale BEFORE discounts, throwing off the QBO sales tax reports.

 

I am not sure how something like this has ever been missed since proper accounting is paramount. and yes QBO can be a pain to import into due to it's new "auto tax" calculations as well.

 

For discounts to be properly calculated "discounts" needs to be enabled in the QBO settings and the discounts have to be imported into that field which is calculated BEFORE tax. Or the line item needs to have the TAX checkbox "ticked"

 

This is easily reproducible and one can see the tax calculations when discounts are imported is WRONG when compared to the square sales report for the day.

The issue is that the mapping in the app is for a LINE ITEM and that line item is NOT "ticked" for tax thus the taxable subtotal is incorrect.  There is a DISCOUNT field that if used correctly removes the discounts from sales tax calculations.

Integrating Square with QuickBooks Online (QBO) automatically imports your sales data into QuickBooks. However, the accuracy of QBO relies on factors such as how the integration settings are configured, how transactions are imported, and the completeness of the data synced from Square.

 

To rectify this, I recommend checking the mapping setting in the Square program. This way, we'll be able to ensure all the details in your sales receipts will sync accurately.

 

If the settings are correct, I suggest contacting the Square Support Team. They have access to your account details and can provide insights into why the receipts discounts aren't populating in the correct field, which causes incorrect tax calculations. They can also ensure this gets resolved.

 

In the meantime, I suggest manually editing the sales receipts. Then, place a checkmark under the Tax column to ensure the correct calculation will reflect.

Square Import on Discounts Calculates incorrect Tax

This has been a proiblem qith QBO since "auto" sales tax was enabled 2 years ago.

 

First the import does NOT check the tax box to properly adjust the total on import which makes no sense why it's not checked since it's "reverse" taxable and needs to be removed from the taxable total.  Making the line item NON taxable still does not adjust the totals right.

 

Also the rounding is ALWAYS off from what Square has in it's reports and then what your auto calculations are...so we have to manually override the tax to MATCH square's tax collected on the register report.  There is no way to disable auto calculations, so everything becomes MORE cumbersome with integrations not easier to use.

 

We now have to use soley the sqaure reports for sales tax filing so since that is what is actually been collected by customers, your quto calculations plus the lack of the line item being excluded make for a mess with this integration.  I can't believe someone has not looked more into this such as DO NOT apply auto calculations when importing from square, just insert the tax number square collected as a raw value.
