Stop auto adding client names to deposits

When adding the name of the person a check is from while reconciling my checking account deposits, QB changes all of my other unreconciled deposits to that person's name. How can I get QB not to do that?

Stop auto adding client names to deposits

We're glad you've posted here, ES2007. Let's work together to fix this issue of auto-adding a check issuer's name while reconciling an account in QuickBooks Online (QBO).

To help you address this unusual behavior in QBO, you can access your QuickBooks account using a private window. This step is to check if this is a cache-related issue. Your usual browser utilizes cache to speed up page loading, but excessive cache can impact the system's performance.

Here are the keyboard shortcuts:

  • Safari: Shift + ⌘ + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox: Shift + CTRL + P
  • Microsoft Edge: CTRL + Shift + N

Once logged in, add the client's name again. If this doesn't affect other deposits, return to your usual browser and clear its cache to enhance the program's performance. However, if the private browsing doesn't work, I'd recommend using other supported browsers. They provide the best experience with QuickBooks.

Additionally, I'll be sharing these articles as guides to help you reconcile your account.

Finally, you can print a report if you have trouble reconciling the following month. This report summarizes the beginning and ending balances and lists cleared and uncleared transactions when you reconciled. Refer to this article to learn more: View, print, or export a reconciliation report in QBO.

You can post in the forum always whenever you have concerns reconciling your transactions or other questions in QBO. I'm ready to help you out.

Clearing the cache or trying an incognito window didn't resolve the issue.

I'm actually using Simple Sart online but since that is never an option in the drop-down for accessing help I picked QB Online.

So, when I open an entry in my checking to confirm categories and payee, when I type in the name of the payee, it immediately changes the name for every other check deposit in my register that I haven't reconciled yet. I have the feeling it is in the rules that are set up but I haven't been able to see that I have a rule set to rename all payees in this manner. I would really like to get this issue resolved because it creates confusion.

Allow me to join the thread and provide further details about the auto-adding of payee names, @ES2007.

Bank rules allow you to automatically categorize transactions that meet certain criteria. When transactions are imported, either through bank feeds or by uploading bank statements, these rules help ensure that similar types of transactions are classified consistently without manual intervention each time.

That said, let's review if the Enable suggested categorization option is unchecked on the Banking page. This setting can sometimes trigger the issue you're encountering.

  1. Go to Transactions and select Bank transactions.
  2. Click the Gear icon.
  3. Navigate to the Enable suggested categorization section and untick it.
  4. Try to make the changes to the Payee field again to check if it will continue to change the other transactions.

If it does, I recommend contacting our support team so they can further investigate your account regarding the problem you're experiencing. They possess the tools to check your account securely and provide you with a resolution.
