Transaction review process

We have a lot of transactions that hit our bank accounts and credit card every day, and so we have a two step transaction data entry process.

1. The office assistant identifies the transaction purpose and the correct property (class)

2. The bookkeeper then enters the data into QBO

The problem is that we need a 3rd party tool (we use google sheets and TillerHQ to download all transactions daily) to accomplish this. But it's a lot of dual data entry. Is there a way that this can be accomplished within QBO itself? The problem with the built in process in QBO is that if any information is saved to the transaction, it is then "Categorized". The perfect solution would be if QBO would allow one more interim "stage" between "For Review" and "Categorized".

I cannot find any 3rd party tools that facilitate this, but I can't imagine that we are the only ones that struggle with something like this. Any advice?

Hello, mboonzaayer.

It would be nice to have an option to temporarily hold the downloaded transactions before adding them to the Categorized tab.

In QuickBooks Online, after you connect your bank, it automatically downloads your transactions, which you can categorize or match.

You can watch a video tutorial in this article: Categorize and match online bank transactions in QuickBooks Online.

While we're unable to temporality hold identified transactions, you can leave them in the For review page and add or match them later on. I also recommend sending this suggestion to our product developers. They'll review this idea and might consider adding it in the future.

Go to the Gear located at the top.
Under Profile, click Feedback.

With regard to the third-party application, we unable to recommend one since QuickBooks Online integrates with multiple apps. You can go to the Apps menu on the left panel and search for a keyword.

Hi @Fiat Lux - ASIA thank you for the recommendation. It would definitely help us get the spreadsheet data into QBO and eliminate the dual data entry problem. Ideally I would like a process that does not require our spreadsheet - but this is something we will look at. Thank you.
