Uncleared old deposits from 2015-2020 bank accounts have been reconciled and undeposited funds is zero!! Help!!

I just started with a small family owned company as their bookkeeper. When I started, the checkbooks hadn't been reconciled since 2019. I have since brought them up to date and they balance. However, there are old deposits from 2015 still sitting in my checkbook. I have checked the income accounts, accounts receivable and cash accounts and I see these transact there and undeposited funds is zero. How do I can get these out of my checkbook?

It's great to see you here, @NicWP9378,

 

You can do an off-cycle reconciliation to make corrections to a previously reconciled account. This includes cleared transactions that were unchecked (uncleared) in the account register.

 

Here's how:

 

  1. From the Banking menu, select Reconcile.
  2. Choose the account with the transactions you need to reconcile.
  3. Fill in the Date of Statement field. This date can be any date between your last reconciliation and the next scheduled one.
  4. Add the balance of your last successful reconciliation in the Ending Balance field, then select Continue.
  5. In the Reconcile window, mark the transactions you are reconciling.
  6. Make sure the Difference field shows $0.00.
  7. Hit Reconcile Now once everything is good.

 

Please note that the end balance after the reconciliation becomes the beginning balance of the following cycle. If the new entries did not change the Ending Balance of the account, you no longer need to undo the reconciliation for the following period. Do otherwise if it does.

My difference won't be zero though. I only need to clear old deposits so there's nothing to off set them.

I have a very similar thing--i took over and the bank account in QB is negative a lot -- but the bank reconciliations have been done over the years -- they just keep pushing through with it wrong. I dont want to go back 4 years (or however long) Is there a way to make a journal entry and just bring it up to match?

Yes, you may create a journal entry to adjust the discrepancies of your transactions. However, I would recommend seeking assistance from a professional accountant for proper accounting and posting of each account or amount. To record a journal entry in QuickBooks Desktop:

 

  1. Go to the Company menu and select Make General Journal Entries.
  2. Fill out the fields to create your journal entry. Make sure your debits equal your credits when you’re done.
  3. Select Save or Save & Close.
