Using Rules to categorize paypal transactions

I appreciate you for choosing QuickBooks in managing your PayPal transactions, scott187. I know it can be rough when you can't apply rules. I'm here to help you out.

One possible cause that the rule may not apply is if you are using a rule-based bank text instead of a description. Please see the difference below:

  • The bank text is exactly the information QuickBooks receives from the bank. The bank text is the transaction you'd see listed in your bank account or on your bank statement.
  • The description is a simplified version of the bank text to make it easier to understand. For example, QuickBooks might simplify bank text to just say a vendor name.

QuickBooks shows the description in your list of transactions by default. To show the bank text instead, see these steps:

  1. Go to Bookkeeping and then select Transactions.
  2. Select Banking.
  3. Above the table, go to Settings ⚙.
  4. ClickShow bank details.

If this isn't the case, I'd suggest accessing your QuickBooks Online account via a private browser. This is a good place to determine if this is a browser-related issue.

Here are the keyboard shortcuts:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P

Once logged in, apply the rules to the transactions. If the match shows, let's clear the browser's cache. This removes its stored files to ensure the program performs efficiently.

You can also use other supported browsers. They'll provide the best and most secure experience with QuickBooks.

If the issue persists, I'd suggest deleting and recreating the rules. This helps us further isolate the issue.

For more details about categorizing transactions, please see this article: Match Bank Data in QuickBooks Online.

Additionally, I've included an article that'll help you match your QuickBooks accounts to your bank and credit card statements. This ensures your books are accurate: Reconcile an Account.

I'm only a few clicks away if you need assistance with your other QuickBooks tasks, scott187. It's always my pleasure to help you out again.
