accounts receivables going into incorrect A/R account

After I upgraded to QB Mac 2024, my statement charges are being placed into my A/R - A/R other account that was used long ago by someone else in my office. Instead of them going into Accounts Recievables, entries are going into the inactive account. I changed the incorrect entries last month and inactivated the account again but it has started putting them into the A/R other account again. Anyone have these problems?

To begin, QuickBooks Desktop remembers the last account used to enter the transactions. Since you experienced this kind of issue this is due to incorrect editing of the account  to correct last month's entries. As a result, when you create a new invoice, it associated with the last account used.

 

However, if you tried to enter new transactions and confirmed that you used the correct A/R account, but are still encountering the same issue, I recommend performing a verify and rebuild on the company file. This will help identify the problem and the rebuild tool can fix any issues that are found. Here's a step to rebuild your company file data

 

  1. Click on File, then select Utilities.
  2. Select Rebuild Data, then select OK to close all windows.
  3. QuickBooks will ask you to make a backup before rebuilding your company file, select OK. If you don’t want to do a backup, select Cancel to continue with the file rebuilding process.
    •  If you haven’t set up any backup preferences, QuickBooks will prompt you to update them. Select Backup Preferences and make any necessary changes, then click OK.
    • Once the backup is finished, click Show in Finder to locate the backup, or click OK if you’re done.
  4. After the rebuild is finished, select OK.

 

To ensure the integrity of your file, verify any errors and data damage. If issues persist, you can proceed with rebuilding the file.

Thank you for the response but none of it worked. I have used QB Mac for over 10 years now and am familiar with reconciling etc. 

Rebuilding the data did not find or fix any errors. 

The entries are all still going into the inactive AR account regardless of how many times it is changed to the main AR account. Any other thoughts to try?

Since accounts receivables are still going into an incorrect account when entering transactions, I'd recommend getting in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research with you, and create an investigation ticket if necessary.

 

They can be reached while using QuickBooks.

  1. In your top menu bar, go to Help, then QuickBooks Desktop Help.
