IIF File import header keywords for customer import

Hello,

Can someone help to find the header keywords for all customer contact numbers, as for the customers mobile number, work number, and all other items in customer address info list.

  1. From the QuickBooks Help menu, select QuickBooks Help.
  2. Choose the Search tab
  3. Type IIF file format, and click the Start Search arrow.
  4. Select Reference guide to import files.

Thank you for the quick reply.

I do understand how to import IIF files, the question was - as mentioned above - to find missing header keywords.

 

QuickBooks offers many ways how to bulk import customer info, via add/edit multiple list entries, or via excel sheets, but none of these offers to import all customer contact info.

 

Also, when we exporting an IIF file from the old QuickBooks file, it was missing some of the contact info, thus the question is what are the header keywords for these contact fields in order to be able to import all these info.

The QuickBooks IIF Import Kit serves as a resourceful guide for creating and working of .IIF import files. It encompasses the subsequent elements:

 

  • IIF Import Manual: This .pdf document delineates prevalent .iif challenges and optimal approaches.
  • IIF Header Help: This section comprises the column headings employed for importing list data.
  • IIF Example Files: A folder that contains version-specific .iif transaction examples.

 

To download and install the.IIF import kit:

 

  1. Download Kit.
  2. Select the Save button to download the IIF_Import_Kit.zip file to your Windows desktop.
  3. Use WinZip or any compatible file compression utility to extract the contents of the downloaded file. The contents will automatically extract into a subfolder called .IIF Import Kit.
  4. Open the IIF Import Kit folder to view its contents.
  5. Select IIF Header Help.
  6. Click !CUST to see the header.
  7. From the Customers & Jobs list window, you'll see the following table showing the column headings for the customers.

below is a list of all contact option fields in QBD, please advise how all these can be imported by an IIF file:

Main Phone:  PHONE1

Home Phone: Missing

Work Phone:  Missing

Mobile:           Missing

Alt. Phone:     PHONE2

Alt. Mobile:     Missing

Fax:                FAXNUM

Alt. Fax:         Missing

Main Email:   EMAIL

CC Email:      Missing

Alt. Email 1:   Missing

Alt. Email 2:   Missing

 

There are some more fields that are also missing in the column headings guidance, please provide a source for all missing column headings keywords

While we provide sets of column headings, the list does not include the necessary fields you require (Home Phone, Work Phone, Mobile, Alt. Mobile, Alt. Fax, CC Email, Alt. Email 1, Alt. Email 2). The good news is that you can always input that information into your customer profile after importing your IIF file.

 

Here's how:

 

  1. Open QuickBooks.
  2. Go to the Customers menu, then click on Customer Center.
  3. Select the customer's name, then tap on Edit Customer: Job.
  4. Input the information from there.

As mentioned above, we want to do a bulk import of all customers into the new company file. therefore, we are looking for an option to import all customer fields in a single IIF file.

 

All these fields are actually in columns in our companies QuickBooks data base, with header names.

Please provide the header names for each of these columns.

The header has an essential role in importing the files since this will be the rooting point of the mapping. Mapping allows the data to be synchronized accurately with your company file. By identifying and mapping the fields in the header, you ensure that the data is correctly aligned and integrated into your system.

 

The Header is usually located in the Rows and begins with an exclamation point. See this screenshot below:

 

 

 

Moreover, to get accurate header placement, we can perform or export the IIF.

 

Here's how:

 

  1. Go to the File.
  2. Click the Utilities, then, Export.
  3. Choose the Export List to IIF file.
  4. Lastly, save the file to your local drive.

 

After that, locate the saved file from your local drive and open it.

Hi @OFMC 

 

I may be able to add some further insight to what you need to do to import into the specific contact fields you mentioned, some of them are covered in list import feature in QuickBooks ie Main Phone, Alt Phone, Email address and you will also find that the IIF file import feature also will support some of these contact fields but if you want to import into a complete set of Contact fields like CC Email, Alt Email etc then that is not possible using the QuickBooks Import list feature or the IIF file import.

If you need to import those fields then you can use a third party import utility like Zed Axis that you can find in the Intuit Apps for QuickBooks Desktop Marketplace that does support importing a complete set of Contact Fields.  We have a free 30 day trial you can test it with before you need to purchase.
