Merge QBD company files

Hello,

 

Was wondering if I'm able to merge/combine/consolidate multiple company files that are all under the same EIN in QuickBooks Desktop. My predecessor did not know that you could add more than a couple bank accounts to a company file so she opened different company files.

Hello, bpekarna.

 

I can share some information with you about consolidating multiple companies under the same EIN in QuickBooks Desktop.

 

In QuickBooks, each company profile acts as a separate entity (one EIN per subscription). We're unable to combine more than 1 company profile. Though,  we got a workaround for this.

 

You can manually import IIF files such as transactions to only one company. Before doing the process, make sure to back up your company file.

 

Here's how to import IIFs:

 

  1. Sign in to your company file as an admin.

    Note: If you’re in Multi-user mode, go to the File menu, then select Switch to Single-user Mode.

  2. Go to the File menu, then select Utilities.
  3. Select Import, then select Import IIF.
  4. Select the IIF file you want to import, then select Open.
  5. Select OK to confirm the import.

1. Utilize a migration tool to merge your company files.

Merge QBD company files

QuickBooks doesn't have a built in feature to transfer data from one company file to another. However, you can use our BRC Transaction Copier to pull transactions from one company file, review them, and then import them into another company file.

 

Transferring bank account data from an account isolated in a different company file should work well.

I need to append, or merge one QB Desktop 2023 company files into a 2nd QB Desktop company.  How is this accomplished?

Thanks for joining this thread, @JimPC. I'll share additional details about combining company files in QuickBooks Desktop (QBDT).

 

The ability to merge two company data files into one is currently unavailable in QBDT. Each company is created as a separate file and can't be combined, but you can manually export the data of one company and import it into the company you want to keep using the Intuit Interchange Format (IIF) format.

 

Before starting the process, make sure to back up your company file. If changes occur, having a backup copy allows you to restore it to undo the changes.

 

You can follow these instructions to export your data:

 

  1. Sign in to your company file as an admin.
  2. From the QuickBooks File menu, select Utilities > Export > Lists to IIF Files.
  3. Choose the lists you want to export and hit OK.
  4. Browse to the location where you want to save your file and click Save.

 

Then, complete the following procedures to import them:

 

  1. Go to the File menu, then select Utilities.
  2. Choose Import and pick Import IIF.
  3. Browse to the data, then hit Open and OK to start the process.
  4. Follow the on-screen instructions.

Otherwise, you can look for a third-party app that offers a migration tool or supports the merging service process. You can browse this link to find an app: QuickBooks Desktop App Store or find one outside the QuickBooks program.

Merge QBD company files

I need to merge 2 company files, complete data, not just reports, 1st company has 1st 6 months 2020 and 2nd company has 2nd 6 months 2020 data.  Can this be done?   Please advise. Thank you.
