Accessing Past Time Entries

Why can’t I view or click on past time entries in QuickBooks Online? I see them listed in reports, but when I try to open the entry, I get a ‘something went wrong’ error. Is this a known bug or a subscription issue

Accessing Past Time Entries

Let’s perform some troubleshooting steps so you can access past time entries in QuickBooks Online, zjohanson.

Clearing your browser’s cache often resolves display issues that may prevent you from opening time entries. Use the appropriate guide for your browser here:

If clearing your cache doesn’t resolve the issue, consider using a different supported browser to avoid browser-specific problems.

Also, is your QuickBooks Online account integrated with QuickBooks Time? If so, ensure that the integration between QuickBooks Time and QuickBooks Online is properly set up, as syncing issues between the two apps can affect your ability to view time entries. To add information for your time entries, see this article: Add notes to your current timesheet or a previous timesheet in QuickBooks Time.

As an alternative, you can use the Time menu in QuickBooks Online to filter by date and view past time entries. Here’s how:

  1. Go to the Time menu and select Time entries
  2. In Display by, select Date.
  3. Select the Date range for the past entries you want to view.
  4. Enter your team member’s name if you need to edit the time for a specific team member.
  5. Select Edit next to the timesheet and click Save.

I just want to make sure before I do all these steps you understand we came from a migration from QuickBooks Desktop to Online Advanced.

Should I still perform these steps?

Yes, you can still perform the troubleshooting steps provided by my colleague above, @zjohanson.

After migration, Time sheets and activities should automatically sync to QBO after migrating from QBDT.

If troubleshooting doesn’t resolve the issue, refer to the article Fix errors when you move from desktop to online for help with migration problems.

Don't hesitate to comment below if you have any additional questions about your transactions migrated from QuickBooks Desktop to QuickBooks Online.

Do I need quickbooks time installed to do this, however?

I have time enabled, but do I also need the app to see what I need?

using QB Advanced.

Accessing Past Time Entries

So, recap: We recently moved to QuickBooks Online Advanced, and everything we read suggested we wouldn't need to install or integrate anything extra (like QuickBooks Time) unless we needed our employees to clock in and out on the go — similar to how BusyBusy works.

From what we understood, QBO Advanced should allow us to view and access time entries internally without any add-ons. But right now, we're not seeing the full time tracking interface or the entries like we expected.

Do we actually need to install QuickBooks Time just to view and manage time entries? Or is there something we're missing in the setup?

Appreciate any insight!

It’s not necessary to install the QuickBooks Time app, as you can access all its features through a web browser on your computer, @zjohanson.

As long as time tracking is enabled, you can easily view employee or project timesheets, log hours, create time entries, and manage time-related data directly from the QuickBooks web portal or the online QuickBooks Time interface.

It also depends on whether you choose to install the Time app if you need mobile access to track time or manage data on the go. If you’re still having issues accessing past time entries, I recommend following the steps shared by my colleague earlier to resolve the problem.

I’ll add this article if you encounter an issue syncing the time between your Time and QBO accounts: Fix an error when syncing hours.

Thanks for your response, but I want to clarify the original issue because I don’t believe it was fully addressed.

We are able to see past time entries in reports, but when clicking into a specific entry, we get a "Something went wrong" error, and the entry will not open. This happens from within QuickBooks Online Advanced, not the QuickBooks Time app.

We’re trying to determine:

  • Is this a known bug or system limitation in QBO Advanced?
  • Is this related to our subscription tier or migration setup?
  • Is there a confirmed fix for this issue that doesn’t involve vague browser troubleshooting steps?

This isn’t about mobile access or the desktop Time app. It’s about functionality within QBO's web platform — specifically the inability to drill into historical time entries.

We need an exact reason why this is happening, or confirmation that it’s under investigation.

Thanks,
Zach Johanson

from my admin
"Desktop doesn’t need a separate app. Yes, we used Time Sheets on desktop.  Under “Employees” you select to “Enter Time” either per Weekly Time Sheet or per Single Time Activity.

When you pull up projects on QBO, there is past time associated with it, but when you click into it, it gives you an error message, which I was assuming it is due to the employees not being available."
