Bug: Payroll does no longer allow download to QB desktop if once QB online was activated.

Hello community,

 

My name is Ralph and we are running a small company with a small group of employees. We love quickbooks and used payroll desktop, what was perfect as it was fully integrated. QB did not allow us to continue with payroll desktop. so we had to switch to payroll online and downloading the account entries to QB desktop. Not ideal, not as slick as the fully integrated QB desktop solution, but still manageable. Quickbooks then made it looks like there is no QB desktop anymore (website only mentions subscriptions no desktop versions). We were not willing to lose our excellent accounting system QB, so we decided to give it a try to switch over to QB online. That's where our nightmare started. Online was sluggish, had no longer the "easy" feel of the QB system, and we could not understand why the new system would not use the well known and astablished QB desktop menu and format. So we decided not to go the QB online route and used the renewed QB desktop version and canceled the QB online subscription and left the payroll subscription intact / unchanged.

Situation:

We used QB desktop and payroll stand-alone for years successfully. A month ago we tried out QB online, but decided that QB desktop is better, switched back to QB desktop and canceled the QB online subscription. Running the next payroll we noticed that the "download to QB desktop" disappeared. This creates a problem as these entries from payroll to the accounts are now all missing for the employees and we need to manually enter them one by one. What is time consuming and also opens us up to mistakes.

 

Our action:

We contacted support but after hours of poking around no solution was found to re-activate the "download to QB desktop" the configuration / settings just disappeared. We were told, that: as QB online is still in the subscription (even canceled) the system thinks payroll is no longer stand-alone solution but a package and therefor not able to download "account entries" to QB desktop accounting. 

 

Our only solution to fix this:

We will continue the manual entries, but if not fixed have to switch to another payroll provider in 2025 that allows to download the transactions to back to QB desktop. We would like to continue to use QB payroll online as all the history and the employee set-ups are there, but without the bug fixed QB payroll is no longer an option. 

 

Our ask to the community:

Did you used QB desktop with QB payroll online (downloaded account entries), switched / tried out QB online, and switched back to QB desktop by canceling the QB online subscription? Are you stuck now as we are? Did you know or received any fix to "re-activate" download to QB desktop within QB payroll online? Please let us know.

I believe this issue will not be resolved as QuickBooks is going to be doing away with QuickBooks Desktops support as well as new Desktop subscriptions. Unfortunately, you will end up on QuickBooks online anyways eventually if you decide to keep QuickBooks.  A lot of people don't realize the constant coding required to keep communication between a remote desktop and QuickBooks online payroll.  I am a bookkeeper and most of my clients are unable to resolve these communication issues with QuickBooks desktop and payroll.  

 

My recommendation is to create a new QuickBooks payroll online account and import the data into the desktop.  I have used ADP, it would basically be the same thing as using the QuickBooks payroll online, only it is more tailored to HR services and multi state regulations required so it cost more. Also ADP will have the same integration issues with desktop and will only create "journal entries" with employee payments so you wouldn't be able to go to employee individual payments in QuickBooks unless you manually entered and removed the journal entry. 

 

I would set up new account and allow 3-5 days before next payroll date to get the bank account verified and submit payroll forms.

You can try to have a 3rd party payroll app to integrate with QB Desktop 2022-2024.
