Can I cancel a tax payment on QBO online payroll? I started a new company/file, and it looks like the old company is paying one payroll and the new one is paying too.

We'll end up with an overpayment of employee withholding.

Can I cancel a tax payment on QBO online payroll? I started a new company/file, and it looks like the old company is paying one payroll and the new one is paying too.

You can cancel or delete a tax payment anytime in QuickBooks Online (QBO). However, there are things that you need to consider before doing so. I'll list them down below:

 

A tax payment can't be deleted or canceled if:

 

  • It’s in process or already processed electronically.
  • The form along with the payment was sent or accepted by the agency.
  • It was rejected due to insufficient funds (NSF).

 

To cancel a tax payment, it should be:

 

  • It’s manually recorded (non-electronic payments).
  • It hasn't been processed electronically.
  • The date of your federal payment is at least two banking days prior to the payment date, before 5 PM PST.
  • The date of your state payment is before the lead time (state lead times vary).

 

Now, if it hasn't been processed electronically, here's how you can delete it inside QBO:

 

  1. Access your QuickBooks Online company.
  2. Select Taxes, then Payroll tax.
  3. Select Payment history.
  4. Select the tax payment you want to cancel or delete. Change the date range if necessary.
  5. From the Edit dropdown ▼, select Delete. If you don't see delete, you can’t delete the payment.
  6. Select Yes to confirm.

Thank you for that. We do have automatic payment TD turned on, and it’s due to be paid on 7/17. I don’t know if that means it’s been processed electronically. Any further insight ?

The 7/17 date indicates that your tax is due for that period or an upcoming payment. Since the automated tax payment and filing function is turned on, I advise contacting our Payroll Support Team for further assistance.

To obtain the contact details:

 

  1. In your company, navigate to the Help icon in the upper right to display the support window.
  2. Go to the Assistant tab and key in a brief description of your concern in the field box. For example, cancel automated tax payments. 
  3. Click the Get help from a human link and type a phrase or keyword in the What can we help you with? field.
  4. Press the Continue button to view the support options.
  5. Choose Chat for real-time support and Callback to speak with an agent.
