My subscription for QB Desktop payroll ends on 12/15/2024, but I still need to print 940's and W-2's. The payroll update is ciritical as it will not e-file 2024 year-end forms until Intuit updates. Will I lose my access to these forms before I can print them? I'm retiring and will not process payroll for 2025.
Yes, you'll lose access to your payroll forms 940 and W2, Nancy. Let me discuss the specifics below.
The update for payroll forms in QuickBooks Desktop (QBDT) is usually released at the end of December 2024 or early January of the following year. Since your QBDT Payroll subscription ends on December 15, 2024, you will lose access to your Form 940 and W-2 for printing.
Moreover, printing and e-filing the updated forms require an active QBDT subscription with the latest release. As a workaround, you can generate payroll reports within the software to cross-verify data, minimizing errors and discrepancies before manual filing. Here's how:
Payroll Summary report
Tax Form Worksheets
Then, secure pre-printed copies of the forms outside QuickBooks and manually mail them to the IRS and SSA.
Finally, I'll add this article to help you export your data and ensure you retain access to your financial records in QBDT: Import and export data in QuickBooks Desktop.

Thank you for your response, I was hoping for another solution. I had surmised this would be the situation but it never hurts to ask. I do have all my payroll total reports done for the year as I ran the final salaried payrolls last week, so I will use those to manually prepare or use the IRS app to e-file the annual forms. I must admit I was hoping for more support from Intuit/QB after 30 years of using their products for just a 2-3 week extension. This is a disappointment but not the end of the world. I appreciate your input...
You can use the trial version of QBD Enterprise as a workaround. You don't have to renew your Enhance Payroll subscription.
