Enhanced Payroll - custom report?

Does anyone have a report format they'd be willing to share that would provide a history of vacation / PTO / sick hours for "X" number of pay periods? This would be very helpful in instances where we are trying to go back and confirm hours taken when employee and/or supervisor disagree with the total shown on the employees check. Ideally the report would be filtered for a specific employee, and then filtered for a date range, and would show only the changes (+ or -) to vacation, sick, or PTO. Any suggestions welcome and appreciated. Thanks in advance.

Enhanced Payroll - custom report?

It is possible to customize a report in QuickBooks Desktop Payroll to effectively track vacation, PTO, and sick hours over a specified period, Deadwood Al.

While there isn't a pre-built report that matches these specific needs, you can generate a custom report that will serve your purpose seamlessly.

Here's a step-by-step guide to assist you:

  1. Navigate to the Reports menu, then Employees & Payroll.
  2. Select the Payroll Item Detail report, then click Customize.
  3. In the Display tab, select Payroll Item.
  4. In the Filters tab, choose Multiple Payroll Items and add the necessary payroll items. (e.g., Vacation, Sick, PTO).
  5. Set the desired date range for your review.
  6. Click the Excel button, choose Create New Worksheet, and Export to Excel. It will allow you to filter further and organize the data as needed.

You may also want to consider using third-party reporting tools or add-ons that integrate with QuickBooks Desktop for enhanced reporting capabilities.

Additionally, you may find this article helpful: Customize reports in QuickBooks Desktop. It provides detailed guidance on tailoring reports to fit your specific requirements.

You might want to consider memorizing the report in QuickBooks Desktop. This feature allows you to save your current customized settings, making it convenient for future access.

Enhanced Payroll - custom report?

Isn't this going to pull out the dollars and not the hours? I don't want dollars, I want to see the number of hours.

Tried it ... produces dollars, not hours. Before you tell me QB can't do that based on hours, take a look at the data present when doing payroll ... it does include "hours" as a basic input, whether salary or hourly. In fact, if QB didn't track hours, how on earth would it be able to come up with a total remaining hours available?

Thank you for your follow-up question, Deadwood Al. I appreciate your attention to detail regarding tracking hours rather than monetary values. I understand the importance of accurately monitoring vacation, PTO, and sick time in terms of hours, especially when resolving discrepancies between employee and supervisor records. I'll provide a more precise solution that addresses your specific needs.

You can generate reports that display hours rather than dollars. This Excel-based report will provide the hour-based data for vacation, sick, and PTO time. Here’s how:

  1. Navigate the Reports menu and choose Employee & Payroll.
  2. Click More Payroll Report in Excel.
  3. Select Employee Sick & Vacation History.

  4. Enable Macros if prompted.
  5. Select the dates, then Get QuickBooks Data or Create Report.

Additionally, to streamline future reporting, you can memorize reports in QuickBooks. This feature allows you to save your customized report settings, eliminating the need to repeat the customization process each time you need this information.

I hope this information helps you generate the hour-based report you're looking for, Deadwood Al. If you find that these methods do not fully meet your needs or if you encounter any issues while generating the reports, please don’t hesitate to reach out again. We're here to help you make the most of your QuickBooks software and find solutions for your business.

Enhanced Payroll - custom report?

How might I get reporting on overtime hours? Or any of the hour categories ... holiday, regular, etc.? The report that was present seemed to be only for Sick / Vacation / PTO. OT hours is a data that most managers care about very much.

Hey there, @Deadwood Al

It's great to see you back in the Community!

Have you tired running a Payroll Details report within your QuickBooks Desktop account? This report show regular hours worked and overtime hours worked for each employee.

  1. Go to the Reports menu.
  2. Tap the Employees & Payroll section.
  3. Select the Payroll Details report.

I'll be waiting for your response!

Enhanced Payroll - custom report?

Well, gee ... looks like another case of what you see isn't what I get.

When I open the Payroll Detail Report and then click on Customize, as you told me, there is no option anywhere in that list for Hours. I should have known because the report options I see look nothing like the sample you pasted in, and I'm assuming that the "QBOP" abbreviation near the top stands for QuickBooks Online Payroll. If I actually was using Online Payroll that might have helped, except I am using QB Enterprise with Enhanced (Desktop) payroll. You might have gathered that since before I posted to begin with the screens asked me twice to identify what I was using, and I clearly identified that it was Enterprise and Desktop payroll. I might offer a suggestion that the QB Team members should actually read the information users provide before offering solutions to problems that don't actually exist in the users particular situation. This is not the first time, or the third time, or even the fifth time that I am told to solve my desktop problem with an "online" solution. So sad.

So I am still in search of how to provide reports that show hours worked (regular hours, overtime hours, vacation/sick/PTO hours, etc.) instead of dollars. I'm not asking for data that isn't already included in the QB payroll database. Tell me truly ... is there a way to obtain hours information in the Desktop payroll system??

Enhanced Payroll - custom report?

Your constant participation on this thread is much appreciated, Deadwood. Yes, you have the option to obtain employees' hours in QuickBooks. Let me elaborate on the details below.

You'll need to choose the Summarize Payroll Data in Excel option since you want to pull up your worker's regular hours, overtime hours, and vacation/sick/PTO hours. I'll guide you through the step-by-step process:

  1. Navigate to the Reports menu, choose Employees & Payroll, and then Summarize Payroll Data in Excel.
  2. From the Excel window, click the Hours tile to view your employee's OT hours.
  3. You can also access the Rates & Hours by Job tile to review detailed compensation information for each employee.
