Exporting payroll transactions from QB Payroll Core to QB Desktop limited to 20 pay checks

With Intuit Online Payroll, I could export/import a month's worth of transactions all in one file.  Now using Core it takes creating a couple IIF files per week to capture them all because only 20 checks will appear at a time.  (This client has more than 20 employees on payroll.)  How can I increase the number of payroll transactions that will transfer at a time?

I can help youw with that, TerryCPA.

There are multiple ways to export your payroll transactions from QuickBooks Payroll Core to QuickBooks Desktop for Mac. You'll have the option to export the transactions from the most recent payroll run. If you need to export all payroll-related transactions including tax ‌and contractor payments at once, you can follow these steps:

  1. Go to the Payroll menu.
  2. Select the Overview tab.
  3. From the Shortcuts menu, choose Export.
  4. Use the filters to find the transactions you need to export.
  5. Select the transactions you want to export, then click Export.

If you only need to export the individual check, you pull up the Paycheck list report and filter it. This way, you'll be able to view and export all the paycheck for the month. Here's how:

  1. Go to the Payroll menu.
  2. Go to the Employees tab.
  3. Select Paycheck list.
  4. Adjust the filters to find the paychecks you need to export.
  5. Select the transactions you want to export, then choose Export to accounting.

Exporting payroll transactions from QB Payroll Core to QB Desktop limited to 20 pay checks

I understand how to export, my problem is that the program only displays up to 20 paychecks for exporting and I have more than that each week. How do you get the program to display ALL paychecks for the month or am I limited to exporting a maximum of 20 checks at a time?

Thanks for getting back to us, Terry.

I can definitely help you out with exporting more than 20 payroll transactions in QuickBooks Online. For this, you only need to update the filters to include a certain number of transactions.

All you need to do is click the Filter option and choose the employees you need to export the entries for. After that, update the date range that covers the total number of checks you need.

For my company file, I have a total of 29 paychecks and they exported properly in the Excel file after exporting after applying the filters. See this:

Please feel free to post here again if you need additional help with exporting your employee information or transactions. I'll be more than happy to lend a hand.

Thank you, but I am not trying to run a report.  I am creating the IIF export file under the export transactions function. From this I import into my QB desktop file.  Under the old Intuit Online Payroll program, this ran quickly, importing ALL the paychecks for the month in one file and I usually have more than a hundred at a time.  Now using the new Core Payroll, I am limited to importing 20 checks at a time, which takes multiple imports to capture them all.  Surely there is a work around for this?  Or else it need to be corrected by the programmers.

I appreciate your patience during this process and for following up with us, @TerryCPA

I've taken the time to review the whole thread to ensure I understand what you're asking for. Unfortunately, there's a limit to the number of payroll records you can export. I agree with you 100%. Exporting all your data in a single file would be helpful as it saves time and speeds up your work.

For now, I recommend checking in our third-party apps to see if you can find one that suits the exact functionality you need. You can use the link below to browse through our apps.

I also think this would be the perfect time to send this suggestion to our Product Development Team. Our developers review each request and consider them for future updates. I've included some steps to send your feedback to the Development Team below.

  1. Click on the Help Menu.
  2. Hover over Send Feedback Online
  3. Choose Product Suggestion.

That should do it. Feel free to tag me if you have any additional questions or concerns. Take care!

Thank you @Tori B.  The above replies didn't properly address the question.  This function worked great in the now retired Intuit Online Payroll program.  Not sure why it isn't working as it should in this "new and improved" payroll program.
