Hello there, j-eckenrod.

I'll show you how you can export your payroll data from QuickBooks Online Payroll(QBOP) to QuickBooks Desktop for Mac(QBDT).

You can manually export your file from QBOP to export your payroll data. Please make sure QuickBooks Desktop for Mac is selected in your Export Preferences settings before proceeding.

Here's how:

  1. Go to the Gear icon at the top.
  2. Select Payroll settings.
  3. In the Export section, click the Edit pencil icon.
  4. Ensure that QuickBooks Desktop for Mac is selected.
  5. Hit Continue, then Done.
  6. Select Done again to exit to the Payroll Settings screen.

Let's manually export your payroll data after that. I'll show you how to do it.

  1. Go to the Payroll menu, then Employees.
  2. Select the Paycheck list link below the Run payroll button.
  3. Choose the correct Date Range filter for the paychecks you want to export.
  4. Click Run Reports.
  5. Put a checkmark in the box for one or more checks to export.
  6. Once done, hit Export to accounting.

You may find the downloaded IIF file in your download folder and import it when you're ready.

Here's how:

  1. Sign in to your QuickBooks Desktop company file as admin.
  2. Go to the File menu.
  3. Click Import.
  4. Select From IIF Files, then export your IIF file.
  5. Follow the on-screen instruction to complete the process.

Check out the following articles below for more information about setting up your export preferences and exporting paychecks:

If you need to make changes on paychecks, you can review this resource for more insights: Delete or void employee paychecks.

Let me know if you need further assistance with exporting payroll data. I'll be here to help you.

I just tried that. But when I select the iif file. It asks me to do a backup (like usual) and I do. Then it says  "WARNING: You cannot record a negative deposit"
