Hello, I just switched over from QB Desktop to QB Online and the transition has been hard. Currently, payroll dates are all off by one week. How can I adjust this? Thanks

Hi there, twofishfoundatio. Let me guide you about adjusting payroll dates in QuickBooks Online (QBO). 

 

The possible reason for a discrepancy in payroll dates could be due to the migration process. Since you migrated from the desktop version to QBO, employee or payroll schedules are not included in the data that can be transferred to the online version. However, you can still edit it within the employee's profile to correct it. To fix this issue, you can follow the steps provided below:

 

  1. Go to Payroll, then select Employees.
  2. Select an employee.
  3. From the Employment details, select Edit.
  4. From the Pay Schedule dropdown, select the pay schedule for the employee moving forward, or create a new pay schedule by clicking the +Add pay schedule.
  5. Enter the necessary information, then select Save.
  6. Repeat the process for your other employees.

 

Additionally, the paychecks you created in the Desktop version will be moved as regular checks to keep your financial reports accurate. To adjust the dates, you can follow the steps below for reference:

 

  1. Go to the Gear icon, then select Chart of Accounts.
  2. Locate the account where the checks are recorded, then click View Register.
  3. Click the date field and change the date of the check.

 

However, if you're having a discrepancy with the paycheck dates you entered in QBO or unprocessed direct deposits, you can't edit the dates on it. However, you can delete the paychecks and recreate it again. Here's how to delete it:

  1. Go to Payroll, then select Employees.
  2. Click the Paycheck list below the Run payroll button.
  3. Select the check you want to edit, then choose Delete in the Action column dropdown.
  4. Click Yes.


If the direct deposit has already been processed, you can void it and recreate as paper checks. If you're still unable to edit the payroll dates successfully, you can reach our Online Payroll Support and request a payroll correction to fix this.
