Buy nowHello there. I'm here, and I'll share some details about uploading a new W4 document for your employee in QuickBooks Online (QBO).
You may be unable to edit your employee's W4 because you have granted access to your employees in the workforce. If you gave them permission to enter their information the first time they set up, they can also update their information in the future. You'll want to contact your employees and let them access the workforce to update their W4. Once they're ready, here's how they can access and update their information:
In case they can't update their details, I'd recommend letting them reach out to the Workforce Support Team through chat. Visit this page for more information: Add your personal info in QuickBooks Workforce.
Additionally, I've got you this article to help you prepare to wrap up this year's payroll: Year-end checklist for QuickBooks Online Payroll.
Our door is open 24/7 if you need further assistance updating your employee's w4. You can also post here anytime if you have any additional QuickBooks-related concerns or need help performing specific tasks in QuickBooks. it'll always be my pleasure to help you out again. Take care, and enjoy the rest of the week.
Is there a way to undo an accidental invitation? The tax withholding section shows the following message, but I don't see any way to actually turn off employee self-setup.
"We asked [Employee] to fill out their 2021 Form W-4 in Workforce.
Need to use an earlier Form W-4? Turn off Employee self-setup above and enter info."
The employee doesn't want to use workforce and I didn't mean to invite them to it in the first place, but now I don't see a way to undo it. The self-setup toggle shows up on the employees I haven't invited to workforce, but not on the one that I invited accidentally.
Your joining our Community forum is a great pleasure on our part, @Caleb15. Thanks for putting QuickBooks as your first choice.
I am sharing some knowledge that will enable you to revoke the Workforce invitation you previously extended to your employee.
So as to accomplish this. To cancel the invitation, you must disable Workforce access. As follows:
I'm also adding these articles that tackle managing employees for more information:
For additional QuickBooks-related concerns, don't hesitate to post them here in the Community. We're always available and willing to lend a hand to your queries. Have a great day ahead.
I appreciate you for coming back to the thread and adding extra details about your concern, Caleb15. I'll be sharing troubleshooting steps to ensure you can see the Turn off Workforce access option in your QuickBooks Online.
QuickBooks Workforce Active will appear in your QBO once your employee accepts the invitation. With this, the Employee self-setup radio button will now disappear because your employee has already entered the information. With this, you should be able to see the Turn off Workforce access option on this process.
However, if disabling Workforce access on your QuickBooks account is still missing, I recommend opening your QBO account in a private browser. This is done to rule out the possibility of a website issue causing a missing option.
Use these keyboard shortcuts based on the browser you're using:
For Firefox or Microsoft Edge, press Ctrl + Shift + P.
For Chrome, press Ctrl + Shift + N.
For Safari, hold down Command + Shift + N.
If it works in incognito, you'll have to clear the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. If the steps above don't work, use another supported browser as an alternative.
If the issue persists, I suggest contacting the Workforce Support Team. They have the tools to pull up your account and be able to investigate the cause of the problem, and then they can also click the Turn off Workforce access on your behalf.
Lastly, you may refer to this article to see steps on how you can run payroll reports in QuickBooks that you can use to view useful info about your business and employees: Run payroll reports.
