How to handle an H2a worker on on-line payroll.

Hello @jmckiii

Welcome to the Community.

Getting your employees set up correctly is definitely important.

Intuit cannot recommend to any business how they should set up their employee's taxes and reportable wages based on their visa type. You, as the employer, are responsible to determine which taxes an employee must pay according to his/her visa status.

Take a look at this guide for details on tax types: Exemption status of foreign employees with particular visa types

When you are ready, you can set up your new employee in QuickBooks and unmark the taxes as needed. I also recommend checking with your tax professional to ensure the worker is set up appropriately.

I'll be here if you have any other questions about payroll or QuickBooks. Feel free to drop in any time!

How to handle an H2a worker on on-line payroll.

I have reviewed the link provided on handling certain visa workers. As I understand it, QB does not support H2a visa workers (temporary agricultural workers) who are not subject to social security and medicare withholding. Correct me if I have mis-read the material.

How to handle an H2a worker on on-line payroll.

Hi there, jmckiii.

I appreciate you for coming back to the thread to add some clarification about handling an H2a worker. With this. I'll be providing additioanal details on how QuickBooks Online works with employees/workers. Then, ensure you'll be routed to the right person to assist you further on this matter.

QuickBooks Online always has the option to set up different workers in QuickBooks Payroll. However, as mentioned above, Intuit cannot suggest to any business how they should set up their employee's taxes and reportable wages based on their visa type. It would be best to consult an accountant or tax professional to ensure your records in setting up employees are in shipshape.

Then, you may refer to this article to view steps on how you can get employees' info so you'll be able to start adding them in QBO: Add your new employee to QuickBooks Payroll.

Lastly, you may refer to this article on how you can invite your new employees to add some of their personal info through QuickBooks Workforce: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more. That way, they'll be able to view their pay stubs and W-2s online.
