Introducing a Unified QuickBooks Workforce

From Fragmented Tools to a Unified Workforce Platform

For years, businesses have used a patchwork of software to handle HR and workforce operations and the inefficiencies have been costly. When employee data lives in disconnected systems, HR managers and business owners end up burning hours on manual data entry and reconciliation, while employees duplicate effort across multiple platforms. This disconnect can result in lost productivity, avoidable errors, and revenue left on the table.

 

QuickBooks Workforce is designed to change that. According to the 2026 Enterprise Technology Benchmark Report, nearly three-quarters of businesses agree that bringing the tools to manage their workforce efficiently into one place is the fastest route to profitability. The platform spans the full employee lifecycle, with tools that include:

  • Hiring through Offboarding: A guided, automated workflow covers each stage of employment. From publishing job listings and tracking candidates, to issuing offer letters and completing onboarding paperwork, to managing the steps of an employee departure. Digital document generation for forms like I-9s and W-4s keeps the process smooth and compliant.
  • Payroll and Time Tracking: Rather than treating payroll, time tracking, and accounting as separate concerns, QuickBooks Workforce unifies them so data flows automatically between functions. AI-powered tools handle categorization and synchronization, with reported time savings of close to four hours per week on administrative tasks, according to data from a January 2025 Intuit survey of QuickBooks Online Payroll customers.
  • Time Off Management: Businesses can configure time-off policies that account for vacation, sick leave, bereavement, and additional custom types. The policies allow for flexible accrual rules, balance caps, and carryover options. Employees submit requests through the mobile app, managers approve with a single action, and the hours feed directly into payroll.
  • Benefits Administration: A centralized benefits hub allows businesses to set up and manage health, dental, vision, and life coverage. Employees handle their own enrollment and life event updates through a self-service portal, reducing administrative overhead while making benefits more accessible.
  • QuickBooks 401(k) via Vestwell: Through a partnership with Vestwell's retirement platform, businesses can offer scalable 401(k) plans that sync with payroll data automatically. This partnership simplifies administration, supports compliance, and makes retirement savings more straightforward for employees.
  • Performance Management: Structured review cycles, goal tracking, and ongoing feedback tools give employees clear visibility into their development and give managers the data they need to build stronger teams.
  • HR Workflow Automation: Custom workflows let businesses automate routine HR tasks — onboarding checklists, equipment requests, uniform sizing — and route them to the right people automatically, reducing manual follow-up.
  • Document Management: A central repository for creating, signing, storing, and managing employment documents, complete with e-signature functionality and a customizable template library.

 

Three Tiers Built to Scale

QuickBooks Workforce builds on the foundation of QuickBooks Payroll, which currently processes pay for 18 million U.S. workers and holds the top position among payroll providers for small businesses. The addition of HCM capabilities, driven in part by the integration of GoCo's HCM technology, means businesses can now manage the entire employee lifecycle within a single platform, from a small founding team to a workforce of hundreds.

 

The platform is offered in three tiers:

  • Workforce Payroll (formerly QuickBooks Payroll Core): Suited for smaller businesses, this tier covers full-service payroll including auto payroll, next-day direct deposit, 1099 e-filing, and access to expert support. Basic team management tools and an employee portal are included, with optional add-ons for health benefits, 401(k), earned wage access, workers' comp, and background screening through Checkr.
  • Workforce Premium (formerly QuickBooks Payroll Premium): Built for growing businesses, this tier adds mobile time tracking, same-day direct deposit, and setup review by payroll experts. HR capabilities expand to include new hire onboarding, time-off management, recruiting tools, offboarding workflows, and more.
  • Workforce Elite (formerly QuickBooks Payroll Elite): Designed for mid-market businesses and firms, this tier layers on advanced time tracking with geofencing and project support, tax penalty protection up to $25,000, and a dedicated Intuit expert for initial setup. HR support includes a personal HR advisor (powered by Mineral Inc.) and performance management tools.

 

QuickBooks Workforce will roll out to all eligible QuickBooks Online, QuickBooks Online Advanced, and Intuit Enterprise Suite customers in the U.S. in the coming weeks. Existing QuickBooks Payroll subscribers will be automatically upgraded to the corresponding Workforce tier, while current QuickBooks customers not on Payroll will have the option to add Workforce to their existing plan.
