Issue Reprinting W2s.

There has been a known issue since February of this year with accessing and printing or reprinting the tax documents, specifically reprinting W2s.  Go through the normal process, select the specific employee to be reprinted, enter.  Goes to the next screen and NOTHING.  The requested document doesn't come up.  Screen has frozen during multiple attempts.  WHEN will this be resolved?

Issue Reprinting W2s.

I ALWAYS make a pdf copy (outside of QB) of all W2s when they are created and so I never need to go back into QB to a get copy, I recommend you do this going forward. 

 

In the Folder where you store the QB company file you should see a sub-folder named "Company File Name Tax Form History" in this folder are more subfolders for the various tax forms that were created in QB...when you saved the form in QB when created, then those forms will be in those subfolders. So locate the sub-folder named "W2INTRV1", you should find the file for the w2s.

 

I ALSO COPY the entire folder "Company File Name Tax Form History" for each client and place it outside of any QB folders after all year end forms are completed.  I cannot tell how often over the 20+ years this has saved myself/client a lot of brain damage.  MANY QB users do not realize that you cannot always go in QB and re-do/print prior years/quarters tax forms.

 

KEEP in mind when you move the company file/trade back and forth with accountant/tax preparer you "may" not have all those PDFs if they were created on a different machine or store in a different location on the same machine.  So when I do tax forms for a client on my machine their machine will not a those PDFs...but I can copy them/move to the client machine in a remote session if needed.

Issue Reprinting W2s.

It's my priority to ensure that you'll be able to reprint the W2 forms successfully in QuickBooks Desktop.

 

To start with, I want to ask if you receive an error message while trying to reprint the W2 form. Any further details or screenshots about this concern are much appreciated.

 

You can pull up the W-2 and print a copy of it by following the steps below:

  1. Choose Employees and select on Payroll Center.
  2. Click the File Forms tab.
  3. Select on View/Print forms & W-2s. Enter Payroll PIN and click OK.
  4. Go to the W-2 page. If you do not see a list of employees, click View/Print W-2 forms for all years.
  5. Click the employee's name to open the W-2 form you want to print. (If the W-2 does not open, hold down the Ctrl and Alt keys while clicking the employee W-2.)
  6. If prompted, select View Reprints
  7. When Adobe Reader opens the W-2 form, print it on the correct perforated paper.

You can also make the W-2s available to your employees in QuickBooks Workforce. You just have to select the option Provide employees with secure online access to their W-2 forms on Intuit’s free QuickBooks Workforce site after processing the form in QuickBooks Desktop Payroll.
