NC's new unemployment tax sytem-NCSuits is going live 11/13/23 replacing their old mainframe. Will QB online payroll update to file the forms and payments there?

I was able to submit 4th quarter wages through the NCSUITS site by using the option "Copy employee information from a previous quarter's filing."  A bit awkward but was able to be accepted and make a payment.  I only have 40 employees so it wasn't too bad.

I am here to address your concern regarding updating your QBDT software. 

 

If you can’t update your QBDT software, let’s perform troubleshooting steps to fix your update issues. Let’s check the system date and time on your computer’s system as it can interfere with the update process. 

 

Here’s how: 

 

  1. Right-click the system clock on your desktop and select Adjust Date/Time.
  2. Choose Change date and time, then indicate the present date and time.
  3. Click the OK twice.
  4. Close then reopen QuickBooks Desktop.
  5. Once again, run an update of QuickBooks Desktop.

I have desktop as well, and I could not get an acceptable file to create from one of the three acceptable formats. Mine keeps creating the same TXT file that I’ve been using. as of today, January 12, It is not updated to change that as I can see.  I will be continuing to watch for updates, but of course this month is also imperative for W-2 processing so we can’t linger too long- I like to have everything reported appropriately before I go printing

W-2s- just an extra measure to make sure that everything adds up six ways from Sunday. I’m going to give it about another week and a half and if there’s no sufficient update by then, I can go in and key in manually- it’s a pain, but do-able. For those that are unfamiliar with that, you just login directly onto the website NCSUITS and file wage report and enter the data manually. Good luck to us all!

1/16/24  call #5 to QB support yesterday - still do not acknowledge a problem much less idea for a fix time frame

another hour on the phone with 'support'

 

great idea to copy previous quarter staff for easing manual input of this stuff.  works for 1 company but a have a new one came onboard this last quarter.

Its not an updating problem.  The desktop is updated just fine.   When you create a TXT file that is supposed to acceptable on NCSUITS - just like I always have - Surprise! - NCSUITS says this format is unacceptable.  If you can offer some insight on how to create a file format acceptable to NCSUITS, that would be extremely helpful.  The 3 acceptable formats on are CSV, EFW2, or ICESA.    ICESA to my understanding is a text file.  I created the file in QB multiple times and tested it and it still rejects.  Monday, I will have to resort to manually keying in so I am ALL EARS for a solution that will prevent that.   Thanks!!

I think we are all hoping that Quickbooks will update the .txt file to meet the NC Suits standards before we have to manually enter the information into SUITS.  It looks like NC has extended the deadline to February 29th to file the reports.  Hopefully, we will have an updated file before then, but I prefer to go ahead and get all my filings done by January 31st.

I'm here to assist you in creating an acceptable file format for NCSUITS, @MelMac1978 and @JenT3.

 

Currently, QuickBooks Desktop (QBDT) doesn't directly generate EFW2 files. However, you can use a third-party application to create them based on the data from QBDT.

 

If you prefer to export data to a CSV file instead, you can run reports and select the option to export to Excel. Once in Excel, save the file as a CSV. It's recommended that you ensure the CSV file is formatted according to the NCSUITS specifications, such as for wage reporting, and contains the required information for the specific reporting period.

 

For specific guidance on creating these file formats in QBDT, it's recommended that you refer to the official NCSUITS documentation and resources provided by the North Carolina Department of Commerce.

Thank you jeanbiverly!   I will give this a try over the weekend.  I agree with JenT3 - we are all just scrambling to avoid that manual entry.   I spoke with a nice lady at NCSUITS today.  No wait time at all.  She said they are very aware of the issue with QBX not being able to generate the acceptable file directly.  She also said they are updating DAILY, so to keep checking right up until the buzzer basically.  I am with JenT3 though,  I want to get all my things in just like normal on the regular deadline.   I have 2 companies.  The smaller one - I did a manual key in since it only had 25 employees.  I copied the data from last quarter without issue.  Super simple.  BEWARE though.  My submission page had an amount on it due that was miscalculated.  I owed more tax than it said.  My QBX (and my calculator) give me the real amount.  I went in NCSUITs and figured out how to print the actual report, etc and the real amount is there too.   But when you go to pay, it asks for soemthing different!  It won't let you pay anything over that either.   This is an INTERNAL issue with their site and it miscalculating.   Just be on the lookout for this - Don't trust automatically that the amount is right.  Check it out.   Last,  I was made aware of the "INQUIRY" tab on the left hand column.  You can start a NEW INQUIRY and they will respond to your inbox on NCSUITS.   I am assured these kinks will all work out in time.  Thanks again for the update and I will give it a go!!!

The file format guidance documents are being updated. Continue to check the NCSUITS website as well as other DES communications for the most up-to-date information. Remember to use the Validate Wage Files tool to test files before submitting them. The file validation tool is in the Wage Submission section of the Employer portal.

Close your internet browser and log-in again if you receive a log-in error message when trying to access NCSUITS.

Reminders:

  • To reset your PIN, call the Employer Call Center at 866-278-3822 and choose Option 3.
  • Agents must be in the Agent portal when uploading file(s) for a client. Once you are in your Agent portal: select Wage Submission under the ‘Your Options’ menu; then, click on ‘Submit Wages’.
  • Error code explanations by file format type can be found online at: des.nc.gov/employers/ncsuits/ncsuits-documents
  • Payments can be scheduled up to the due date if you are paying by ACH Debit as long as there aren’t any past due amounts on the account.

I'm with you on this, was also getting ready to send a letter to Mr. Goodarzi.  Phone and Chat ran me around for most a day over this issue and they didn't know a thing.  What a waste of time, being dragged around into things totally irrelevant when they hadn't a clue what they were doing.

 

That's only on top of a similar experience the previous week when they hadn't activated the Enhanced Payroll that they forced us into.

 

Quickbooks cares ZILCH about their customers, it's alarming!

I am having the same problems as everyone else on here. I originally assumed QBO had made the changes for the file format to be acceptable to NC Suits new format.  QBO allowed me to e-file and tt appears to be successful on QBO's end but when i log into NC SUITS, it shows that the filing is not there which leads me to believe NC rejected QBO's file but no one told me. When I called and talked to NC SUITS hotline, they said QBO refused to change to the new file format for just NC and that I would have to upload it myself. 

 

I don't want to have to upload it myself but if I have to I will.  That said, QBO has always done it and I don't see a report that I can run or download from QBO that gives me what values to load into NC SUITS.  I dont know how to calculate what QBO has been calculating for me. Does anyone know what report I run to download the QB data so that i can upload it to NC SUITS?  

 

and at the very least, QBO should turn off the ability to e-file if it cannot be done.  they should not make it look like it was successful when it is not.

danyelh: Those of us on Desktop do not have QB file for us; however we used to be able to download a spreadsheet, hit some buttons turning it into a txt file and upload to NC DES.  Today, I got email from NC SUITS that THEY (not QB) have come up with a solution for QB users and sent instructions for how to download from QB, format the data and upload it to NC SUITS ourselves.  The instructions are 20 pages long.

I wish you didn't have to go through all these challenges in filing your taxes in NC Suits through QuickBooks, @danyelh. This is not the kind of service that we want you to experience. 

 

Since you want to run a report you can download it to submit manually to NC Suits, you may run a Payroll Tax Liability report or another payroll report, which can be customized to cater to the specific data that you require. You can follow the steps below to generate one:

 

  1. Go to Reports.
  2. Scroll down to the Payroll section, or Find report by name in the search field.
  3. Find and select Payroll Tax Liability.
  4. Filter the report by date range, then select Apply.
  5. You can customize this if you want to include or exclude some items.
  6. Select Run report when finished.
  7. Click the Export dropdown, then choose Export to Excel.

 

Once done downloading this file, you can open it on your device and convert it into a CSV file or to the format the NC Suits require. 

 

Moreover, you can check the status of your payroll tax filing and payments through the program.

Here's how:

 

  1. Go to Payroll, then select Payroll tax.
  2. Select the Filings tab.
  3. Look for the form in the Action Needed and Coming Up section.
  4. Choose Preview, then File.
  5. Hit Record filing, then Done.

so yesterday I read the instructions on NC SUITS how to take the QB excel file and reformat/convert to CSV file.   I have 2 companies 

You basically become a programmer to format and ADD A LOT OF DATA to the QB file. I tried to follow instructions, sent file and it was rejected by NC DES.  

 

Took me an hour to decipher instructions....new company and have only have 9 employees~   and made many adjustments to file.  you have to add columns, translate yes/no into 1/0 .  add data, assume required versus not required. 

add 2 lines with many columns of data.  to id the employer and headers the state wants.

saved as CSV and submitted and file was rejected.  

 My other company has 20 employees so I will try to use last months filing to get this to a GO.  Thanks for the hint from other user.

I found out about a week ago it was just easier to bring forward the last quarters report 3Q23 and enter the data manually.  Once I did, the NCSuits calculation agreed to what had been calculated in my QuickBooks Desktop version so I am done with it for now.  However, I am totally taken back about how little Intuit has helped to fix this issue.

This is absolutely perturbing.  Intuit keeps forcing us into more expensive products, as well as raising their subscription fees.  Yet, they can't provide the service they claim they can.  Programming to create this file is their job, not ours, and it shouldn't be so difficult for them to do.

 

And then there's the customer support, in general but seriously relating to this issue.  I spent almost an entire day with support on this only to figure out that they not only had no idea what was going on, but they dragged me around through a bunch of other stuff not even related.

 

I sooo wish there were truly feasible options, I'd be there in a heartbeat.  Yes, I know there are some other things available, but not so widely used as this one.

I got an email from QB acknowledging they can not support the file for this quarter but plan to support next quarter.   

Warning - they refer you to the programming fix to change your excel file in 50 different ways to comply with CVS format.  If you filed last quarter,,, use that and maintenace!!!

if you have less than 10 looks like paper will work.

Good Luck all - I have spent way tooo much time on this state requirement!!!

Dear Quickbooks Team:

 

We appreciate that you are finally acknowledging and undertaking to correct this situation.  This however does not even begin to mitigate the far-reaching effects of this issue.

 

I and many others have been not only disappointed but astounded at Intuit’s lack of concern for customers.  I personally found it downright insulting the extent to which my time (and much of it!) was patently abused in contacting Support (or lack thereof) on this issue and one other as well.  That your, what you call a ‘Team’, can be so clueless in every way and yet waste everybody’s time in trying to pretend they are actually doing something is amazing.  Truly, your customers are not stupid!  In addition:  It is very difficult to understand the broken English and as difficult to follow the conversation with someone who does not understand how to use the language properly.

 

Given that you people continue to force us (yes, FORCE) into more and more expensive products, one might realistically expect a corresponding value in the quality of the product/service offered, including a real Support team that is both intent and able to resolve issues. 

 

As a Corporation I might say, you should be ashamed of yourselves!

This question is for users because we all know QB/Intuit has given up on us and basically told we are on our own and maybe they can have it fixed for next Quarter (fingers crossed).  I am trying to create the file for NC and I am formatting the way NC Suits requested but it keeps getting rejecting stating the amount needs to be in number form with no decimals. yet my spread sheet is in number form and no decimals.  Did you have that issue for any of your rejections?  If so How did you correct it so they would accept your file? My file also keeps converting SSN to a weird format, I think scientific notation.  Even after I format to text like they required.  I have about 150 employees with high turnover so manual entry is not an option.

I completely understand what you mean.  I am in absolute disbelief that we pay these people the crazy money that we do and they can do no better than this.  I spent 4 hours on the phone with them (India) last week because they had an update claiming to support NC.  Only I found out that it was the same exact thing that they know doesn't work.  It seems that NC would have made their stuff backward compatible. Or that QB would complete these unbelievable instructions for conversion in a excel generated file!  Maybe the version of excel you are using?  I am using the desktop version of Office... I was able to set the SSNs as text and it worked for me. But then I turned to the next page and said no freaking way......

I am going to try to resurrect the previous QTR and fill in the new people.  That's all I can think to do. QuickBooks help is absolutely worthless. Insult to injury... got the notification that my overpriced subscription that I was forced into last year is renewing next week,,, pay for Payroll AND this garbage.....I wish there was a viable option.  Loyal customer since 1997......
