Out of Date Certified Payroll Report Quickbooks Desktop 2024

Hello,

  We recently purchased & installed Quickbooks Desktop 2024 with a payroll subscription and when I attempt to pull the certified payroll report from Quickbooks it is out of date. The most recent date is 05/08 and the jobs listed are incorrect / out of date. We haven't had any other reporting issues so I'm not sure why this specific report isn't working. I have already verified data with no issues. I verified I had a temp file in my pc C file. I tried reaching out to customer support and they spent the entire chat trying to sell me Enterprise and when I declined they hung up on me lol. I really need this issue resolved. Thank you!

First, you'll want to set up your job costing and time-tracking to help you save time in creating the certified payroll report each week. When you set this up accurately but pulled up an outdated report and the jobs listed are incorrect, this could be due to the QuickBooks Desktop version you have. With this, I recommend updating it to the latest version. I'll outline the steps below to manually update it:

 

  1. Open the Product Information window by pressing F2 or Ctrl+1 on your keyboard.
  2. Review the version you have. You can check the latest release available here on this page.

 

QuickBooks automatically downloads the updates when it's available. Once it's downloaded, select Update available on the status bar located at the top right corner. Choose Install Now to integrate the update.

 

However, if you're unable to install it, you can follow these as an alternative:

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Choose the Update Now tab, then Get Updates.
  3. Close and reopen QuickBooks to install the update again.


     

Now, once your desktop version is up to date, make sure to log in to your company file as an admin. It will give you all permissions to access the file without restrictions.

 

Then, you may now check if the details in the payroll report are correct and accurate.

Thank you for the information. I'm confused about the permissions aspect of your comment. Is only an admin allowed to pull the certified payroll report? That was not the case with Desktop 2021 so this is new to me. I have access to all other company reports. 

 

I updated QB as indicated but it is still out of date / incorrect. All of our job costing and time tracking is correct. We are not new customers and have been using QB for years now.

Not only the Primary Administrator is allowed to pull up the certified payroll report in QuickBooks Desktop (QBDT), Bookkeeper1333. Let me share further details and route you to the best support who can assist you in generating the payroll data you need.

 

The Certified Payroll Report can be accessed by both the primary admin and accountant users. Since you're able to view the report, it could be because you're logged in as an accountant.
