Let me shed some light on user roles and permissions in the desktop program, IASCWilliam1.

QuickBooks Desktop (QBDT) allows you to set up users to manage payroll and perform specific tasks. When using the payroll and bank feeds features in multi-user mode, there's a lockout system that prevents multiple users from utilizing the same function simultaneously.

For a detailed list of features and tasks you can perform in either single or multi-user mode, explore this link: Features available and tasks you can perform in single or multi-user mode in QuickBooks Desktop.

To add another user to handle any payroll activities and other accounting activities, simply follow these steps:

  1. Open your company file, head to the Company menu at the top bar to select Users and Set Up Users and Roles.
  2. Enter the admin password and click the OK button to open the Users and Roles window.
  3. In the User List tab, tap the New button to display the New user window.
  4. From there, enter the username and password (optional).
  5. In the Available Roles section, choose the user’s roles and select Add.
  6. Click the OK button once done.

Refer to this article for a deeper insight into predefined and custom roles: Create and manage users and roles in QuickBooks Desktop Enterprise.

Moreover, utilize the solutions mentioned in these links to effectively manage login and restrictions, handle payroll activities, and grant permissions to access specific areas in QBDT:

Stay in touch if you have additional questions about managing user roles and completing payroll tasks. I'll get back to provide the guidance you need, IASCWilliam1.

Thanks for your reply, It seems that paying employees is one of those locked out activities. That's something that QB could evaluate, if the employees that are being paid are not the same, the system should allow the officers to proceed. Thanks
