Payroll Chart of Account...wrong.

We have always had payroll configured to be pulled from our main checking account, and the money does in fact still get pulled from this checking account, but QBO is now mapping the transaction to the wrong bank account in our chart of accounts.

 

We are on full service payroll, and the settings under Payroll Settings > Bank Accounts and under Payroll Settings > Accounting > Paycheck and Payroll Tax Payments are all set to the correct bank account.

 

When I go to run payroll, however, I hit the Preview Payroll button, and under Funding account, the correct account is listed. However, under Chart of account, the wrong account is listed and this is where QBO is now dropping payroll transactions. This is the strangest thing...

 

I've cleared my cookies, logged out and logged back in, tried using an incognito window on Google Chrome, but this issue persists. I've verified that this isn't just a display issue...I ran payroll last Friday and sure enough the funds got pulled from the right account, BUT QBO dropped the direct deposit transaction in the wrong account, so when the bank feed updated, I cannot match the transaction.

 

As seen in the screenshots below, our account is setup to use Bluevine Checking for payroll transactions, but QBO posts the transactions to QuickBooks Checking on its own for some reason.

 

Will be reaching out to support when they open today.

Thanks for letting us know in advance the type of subscription that you're using, @urbancowboy1994.

 

To help fix your chart of accounts, I'd suggest reaching out to our Payroll Support Team since you're using QuickBooks Full Service Payroll. This way, they can further check your account and provide some information on why it happens.

 

Here's how:

 

  1. Click the Help menu in the upper-right-hand corner.
  2. Type in Talk to a human, then press Enter.
  3. Look for I still need a human and click on it.
  4. Click Get help from a human or Contact Support Team.
  5. Select between Send a messageSchedule an appointment, or Get a callback.

Payroll Chart of Account...wrong.

I have the same issue. QB Checking was the worst decision ever.

 

I can't run payroll without it going to wrong account.

 

I have been talking to Tier 1 on Payroll Issues for the last month.  How can I get thru to anyone that can help!

 

I have 5 quickbooks instances and am about to switch to a different system. UGGGGGG

JUST HERE BECAUSE MISERY LOVES COMPANY!!!
Experiencing the exact same issue and problem...Have spent probably 4 or 5 hours speaking with multiple support agents - verifying setting, explaining the issue, etc. etc. etc. IT's been a clinic in frustration and lousy customer support.

The worse part is instead of acknowledging that it's broken I've been told MULTIPLE times, and as recent as today by a "supervisor" that it's working "as designed" and it will work this way moving forward and I have two choices.
1) Fund Payroll from Quickbooks checking (WHICH I HAVE NO DESIRE TO DO)

or 

2) Use Journal entries to correct the inaccurate entries made to the QuickBooks Checking Chart of Accounts.

BOTH OF THESE ARE UNEXCUSABLY WEAK SOLUTIONS AND QBO SHOULD BE EMBARRASSED TO EVEN SUGGEST THEM.

I've even attempted to close my QuickBooks Checking account as a work around since it's been nothing but problematic anyway.  However, QBO will not allow you to set it to inactive so it does no good.

@urbancowboy1994 wondering if there's been any further updates on this and what reassurances have you been given that,  "T3 Department and system engineers are currently working on this"?

That would be welcomed news, I've been working this same problem with multiple calls to support since Monday also and can't even get support to acknowledge that this is a problem that needs to be addressed.

When I've reached the point with support to where they finally acknowledge the issue and they research further the official QBO stance has been "it's working as designed" and there are two options...Either fund payroll from QuickBooks checking, or do journal entries to correct the forced inaccurate COA entries into Quickbooks Checking.

Honestly? No actual solution was given.

 

I was similarly told to just go ahead and make journal entries to get the transactions into the correct account. I find it interesting, however, that it's just the net paycheck portion that is showing up in the wrong account. The actual payroll funds are being drafted from the correct account, and the payroll taxes are being reflected and drafted from the correct account as well. Unfortunately, somehow, QBO is putting the employee's paycheck amount into QuickBooks Checking, while everything else is working as it should. This confused all support agents involved as they went through the troubleshooting steps they had available at the time.

 

Now long story short, after this matter was escalated, the "solution" was later determined to be closing the QuickBooks Cash Checking account, and after it's closed (which takes 30-60 days apparently, even though our balance was already $0.00), inactivate the account in the Chart of Accounts, and this would then force the system to respect the settings in Payroll Settings > Bank Accounts and Payroll Settings > Accounting > Paycheck and Payroll Tax Payments. Whether this is going to work or not is unknown at this time, since I'm still waiting for the checking account to be closed... I must say though, thankfully we no longer need this checking account, because we're fortunate enough to have other checking accounts at our disposal. Had we needed this account to remain open, I'm not sure what the "solution" would have been then.

 

I'll also add that it was acknowledged by the main support agent assisting me that QuickBooks Online is "still a relatively new software" and that there are sometimes things that go wrong. I agreed with her, but stated that this had never been an issue in the past, and that I don't know who changed what, but that this issue was new (at least for our account).

 

Going forward, it doesn't look like they're going to work on this issue any further, rather they assume making journal entries is an easy fix for now.

 

I'll be leaving this matter open until a permanent solution is found...

@urbancowboy1994 , appreciate the reply and details.  My answer was also to just close my QuickBooks checking account....I had a small amount of funds that needed to be transferred out, which I've done.  But I also hit the issue where QBO would not allow me to make it inactive.  

Sounds like you were told that once the account is "officially" closed in 30 to 60 days the issue will resolve itself...While I was not given this information, I hope it's correct.  

You now have my wondering if there's any hope in expediting the process with Green Dot banking and getting the account shutdown quicker then the 30-60 timeframe?

Yes, the agent seemed to think that it would be an easy closure, but apparently Green Dot has other things in mind that inhibit immediate closure of a QuickBooks Cash Checking account even if it's already zeroed out.

 

But yes, from what I was told, we cannot inactivate that account in the Chart of Accounts until it is fully closed out and unlinked from our QBO account as a whole. That being said, after the account is closed out, I see no reason why we shouldn't be able to set that to inactive in Chart of Accounts – it'll be awhile before I can test it out for myself though.

 

As for making the account closure process quicker, after speaking with someone from QuickBooks Banking, I was told to just ensure no new deposits hit the account; not even a microdeposit that some institutions use to verify accounts...so just make sure you're not using it at all or the clock resets. I stressed to that representative that I wanted it closed immediately, but all she did was reiterate that I just need to make sure it stays at $0.00 for 30-60 days with no further activity. So, I guess it's just a matter of patience as the account gets closed, and hopefully that solves our issues!

FYI, 

Spent an hour + on the phone with support today to find out this was fixed!  

Supper excited that they took care of this issue which never should have happened....Once again, a little disappointed with support that they never notified me in any way to let me know it was fixed.  All after I had submitted several "feedbacks" on the issue.  Spoken with MULTIPLE support agents including a Supervisor, as well as submitting near countless emails survey I was sent after support calls.
