Payroll forms 2023 do not support values that large

First issue - the 940 report doesn't support values over 9,999,999.99 

Second issue - since the YTD payroll is over 11m, QB's tells me to do W-2's in batches. So I breakdown the W-2's doing A thru L and make adjustments to benefits and submit, the system overrides what I just did saves the new batch M thru Z over the old batch. And it doesn't save all the adjustments to benefits for either batch. It just saves over the prior batch, if I have to make any corrections.

I need to somehow get rid of the prior batches submitted to QB's. I know this new rule went into effect but this module is not user friendly at all.  Very frustrated

Hello there, @pwright70. I'll share information about filing your payroll forms.

 

I can see how having this option would be beneficial for your business, especially for the W-2s that involve over $10 million in payroll. While we don't have the exact time frame for when this will be implemented, I recommend sending feedback to our product developers. I'll guide you on how:

 

  1. In your QBDT account, select the Help tab.
  2. Next, click the Send Feedback Online option.
  3. Then, choose Product Suggestion. A pop-up window displays.
  4. From there, input the details of your product comments, suggestions, and requests. 
  5. Click the Send Feedback button to submit.

 

On the other hand, to get rid of the prior batches that you've submitted to QuickBooks, you can go to the File Forms section and review the file from there. You may also check its status if it's already submitted. Once done, here's how to batch-file your W-2s:

 

  1. Log in to your QBDT payroll file as the Admin and in Single-user Mode.
  2. Select Employee, Payroll Center, then File Forms.
  3. Choose Annual Form W-2/W-3, then Create Form.
  4. In the Select Employees section, select a small range of letters from the Employee's Last Names - From the dropdown. 
  5. In the Select filing period section, enter the tax year then select OK.
  6. In the Select Employees for Form W-2/W-3 window, select Review/Edit to review the W-2/W-3 forms for the employees in the employee group.

 

The number of employees in that batch will show on the right side. If the total is greater than $9,999,999.99, edit the range until the number is less than that. Then, repeat the steps above for each group of employees. You should have no problems in creating and filing as many W-2s or W-3s as you need.
