Payroll mapping with journal entry

I use a payroll company that sends journal entries that are mapped to the expense accounts but when I try and add the project associated with the labor to the name column the job costing report maps it to no item instead of the labor account, is there a way to fix this so that it hits the labor account on the project level?

Payroll mapping with journal entry

Hi there, R Young.

I'd gladly discuss some information to address the labor account on the project level in QuickBooks Desktop. If you need to create a new journal entry, follow these steps:

  1. Go to the Company menu and select Make General Journal Entries.
  2. Fill out the fields to create your journal entry. Make sure your debits equal your credits when you’re done.
  3. Select Save or Save & Close.

Once you've set everything up, you can choose any account to associate with a project or job name. Then, go to the job's profile and check if you can find the account/transaction there.

To ensure that labor costs are accurately reflected in your project-level reports, I recommend reviewing how the journal entry file from the third-party app is set up.

Additionally, you may find more information on managing payroll and employee reports in QuickBooks Desktop by checking out the article: Customize payroll and employee reports.

Payroll mapping with journal entry

Thanks for the reply @VoltF I looked at the mapping on the Jornal entry and the correct labor accounts are selected in the account section but when I add a job in the name column and then look at the job costing report it applies it to no item instead of the correct labor account for the report. When I look at the chart of accounts the Jornal entry is putting it in correct account I just want it to show in the correct account on the job costing report as well.

Thank you for providing a detailed explanation of your concern, RYoung, and for attaching the screenshot. I'll provide more information about this and ensure we can achieve your goal.

When you record a job-related transaction through a journal entry in QuickBooks Desktop, the transaction will appear in the "No Item" area. It is working as designed.

The system automatically bypasses the journal entry to balance your books, so transactions appear correctly in the Chart of Accounts.

As a workaround, I recommend exporting the report to Excel and manually move or add it to the correct account. I understand that this process could take time and effort. However, this approach would achieve your goal.

If you want to proceed with exporting your report, here's how:

  1. Head over to the Reports menu. Click Report Center.
  2. Look for your preferred job report, then press Run.
  3. On the upper part of the page, hit the Excel button.
