I cannot pay weekly NY state withholding taxes in QB online payroll. My company is required to remit these payments 3 days after payroll, and have been doing so in QB desktop for the past 13 years without any difficulty.  Since migrating to online last month, I get the message "The tax period hasn't ended yet.  It's best to wait until period end because you can only make 1 payment.  After that you can't create any more paychecks for the period."  It then x's out all dates until the middle of April as being dates that I could file. I contacted QB payroll help, and after much unnecessary discussion, I was told to email them the letter from NY that states this 3 day requirement. So, the first payroll in January, I had to manually pay through the NY site, the second payroll it managed to go through QB, now with the 3rd payroll I am getting this message again.  Why?  This is extremely dissatisfactory.

The prompt error message is usually displayed when you attempt to pay your taxes before the due date. Since you were unable to run the second payroll, I recommend contacting our payroll support team. They possess the necessary expertise to address your concerns thoroughly. Rest assured that, if deemed necessary, they will refer the issue to our engineering department for a more in-depth resolution.

Here's how: 

 

  1. In your QuickBooks Online account, go to the Help menu.
  2. Hover to the Search tab, then click Contact Us.
  3. Type in a short description of your issue and concern in the box provided.
  4. Click Continue.
  5. Select the Chat or Callback option.

 

You can contact us from Mondays to Fridays, 6 AM to 6 PM PT. 

 

On the other hand, you can read the year-end checklist to wrap up this year's payroll. It includes essential tasks such as processing employee bonuses, preparing W-2 and 1099 forms, and verifying year-to-date totals for each employee.

If 'the prompt error message is usually displayed if you try to pay your taxes before the due date', then how does one change the due date? If I am a weekly schedule depositor and have selected in QB that state taxes are due 3 days after payroll but QB insists that they are not due for 3 months, how can it be changed???  I have been having this issue with another client who is a monthly scheduled depositor and have contacted support MULTIPLE times, and have written MULTIPLE questions here in the community.  I still do not have a good answer.

I want to clarify things and help you with your due dates, BeaconBooks.

 

You'll want to review your payroll state tax filing frequency and the payroll schedule of your employees. That way, we can ensure all the data are accurate so you can change them in your QuickBooks account. You can always update it through the Payroll Settings, here's how:

 

  1. Sign in to QuickBooks Online (QBO).
  2. Go to the Gear icon, then click on Payroll Settings.
  3. Select your state tax from the Payroll Settings window, then click edit.
  4. Click on the Change or Add New Schedule link under Deposit Schedule.
  5. Choose the filing frequency you need.
  6. Follow the on-screen pop-ups to complete the process.

 

If the weekly option is not available in QuickBooks, then you may need to consult with your state agency about this matter on how you can pay the taxes manually.

 

To review an employee's payroll schedule, follow the steps below:

 

  1. Click Payroll from the left menu, then select Employees.
  2. Choose the employee from the list and click Edit employee.
  3. Go to the How much do you pay (employee name) section, then click the pencil icon to edit.
  4. Fill out the appropriate fields. Then select Save.
  5. When you're done, select Save.

Once everything is set, I'd recommend running some payroll reports. This will help you review all your employee's paychecks, total wages, deductions, and taxes.
