How can I set up payroll so that the direct deposit can be completed the required two days in advance, but wait until the actual payday to make adjustments, prepare, and print the paper checks for those that do not have direct deposit.

It sounds like you're printing paychecks directly out of QuickBooks on check stock.

 

If so, the paper paychecks should already be marked as 'To Print' in QuickBooks.

 

That being the case, you can print paychecks by going to the File menu, opening the Print Forms submenu, and then clicking on Paychecks. That will open a window, partitioned by bank account, for all paychecks that are still marked 'To Print'.

 

So, no, you should not need to set up a separate payroll schedule.

Thanks for getting in touch with the Community, Angie13. I appreciate your detailed information.
 

If you've already set up the company payroll for direct deposit, you'll need to initially obtain authorization forms from your employees. Have them fill out, sign, and date an authorization form and attach a voided check from the employee's bank account. You can also obtain their specific information, such as bank account and routing numbers. The voided check is for your records.
 

Next, you'll be prepared to add direct deposit for employees.
 

Here's how:
 

  1. In the top menu bar, go to Employees, then Employee Center.
  2. Find and choose an employee's name.
  3. Access your Payroll Info tab, then click the Direct Deposit button.
  4. On your Direct Deposit window, hit Use Direct Deposit for [employee's name].
  5. Specify whether you're depositing the paycheck into one or two accounts.
  6. Enter your employee's financial institution information (Bank Name, Routing No., Account No., and Account Type).
  7. If you choose to deposit into two accounts, explain the amount or percentage that your employee wants to deposit to the first account in your Amount to Deposit field. The remainder goes to your second specified account.
  8. Select OK and enter the direct deposit PIN when prompted.

Thank you for the reply, unfortunately, this is not what I was looking for.  I want to run the direct deposit in the required time, but print and make changes on the paper paychecks on the actual payday.

@Angie13  Good news; there's nothing stopping you from doing what you want to do. You can change whatever you want for the people you pay with paper paychecks and it won't affect the direct deposit employees at all.

 

The only paychecks that need to be prepared correctly for direct deposit two days ahead of time are the ones you are actually paying via direct deposit.

 

Whether you create the payroll you intend to issue paper paychecks for two days ahead of time and adjust them later, or wait until the actual paydate to create the paper paychecks, it has no impact on your direct deposit preparation.

 

The only thing that'll happen is that, when you run direct deposit the next time, QuickBooks will transmit the information regarding the changes you made to the paper paychecks for the prior week. Not for any good reason, of course; they're just data-mining because... because.

Do I have to set up a separate payroll schedule for direct deposit and paper checks.  I did my direct deposit today and does not give an option to come back and print the checks on the paydate.
