QB Desktop Billable hours

We are using Professional Services Edition 2023 Desktop.  We need to compare billable time vs the amount that was actually billed to the client.  Some of our jobs are fixed fee contracts and we need to know how much we are under-billing each month and YTD for each job.  Currently, we use the QB Time app to collect hours, sync to Desktop and then run the Employees Time and Cost report, then add the revenue data by job to the Excel spreadsheet.  It's pretty tedious especially when all of this info is already in Desktop.  Is there a custom report we can build?

I can see how you would want to get this report, @KayS5.

 

In QuickBooks Desktop (QBDT), we actually have a variety of Timesheet reports. In your case, we can run either the Time by Job Detail or Billed/ Unbilled Hours by Person and Job reports. However, the Job item won't be showing as a column header, it'll display as a title to the designated employee. Also, these reports won't show the amount or cost. With this, I suggest manually calculating the number of billable hours multiplied by the cost per hour.

 

To run these reports:

 

  1. Go to the Reports menu and click on Report Center.
  2. In the search field, type Billed/ Unbilled Hours by Person and Job or Time by Job Detail.
  3. Double-click on the report to open.
  4. Click on Customize Report and select Filters.
  5. Select Billing Status and put a checkmark on Billed.
  6. Filter the report based on the information you want to view.
  7. When done, click on OK.
