Quckbooks Payroll

We do our own payroll with QuickBooks 2023 Pro. Desktop.  I have two questions.  Two of our employee's vacation time is not correct.  Our year starts on Jan. 1 and if they do not use all their vacation from the previous year it can accumulate.  However, their vacation starts from their hire date.  How should that be set up? My second question is I have been trying to find a report that I can run that would show me how many vacation days they used in 2022.  Under the employee center it won't allow me to choose a date other than today's date and under reports for employees in doesn't have the option for vacation days to be selected.  Thank you for your help.

Hello there, @missmissySEI.

Let's get your employees' vacation time set up correctly and run the payroll report you need so you'll obtain the appropriate data in QuickBooks Desktop (QBDT) Payroll.

According to your company's vacation time setup, you need to edit the employee's profile (Payroll Info for Sick and Vacation) and set up the Year begins on and Begin accruing vacation time on options. This way, you'll correctly indicate that your company year starts every first day of January and the employees' vacation start date. To do this, here's how:

  1. Go to Employees, then Employee Center.
  2. Select the employee's name.
  3. Choose the Payroll Info tab, then select Sick/Vacation.
  4. Go to the Vacation section. Set the Year begins on field to January 1 and Begin accruing vacation time on to the employee's hire date.
  5. Click OK80.PNG

On the other hand, run and customize the Employee Contact List report to show your employees' vacation time/days used in a given time frame (2022). To do this, here's how:

  1. Go to the Reports menu, then select Employees & Payroll.
  2. Choose Employee Contact List.
  3. Select Customize Report.
  4. Go to the Display tab, then select the information for Columns: Sick limit, Sick available, Sick used, Vacation limit, Vacation available, and Vacation used.
  5. Select OK.
