Missing QB data

I was handling payroll for my mother's caretakers in the year 2022. She passed away in December 2022, and filed her last tax return in 2023.

I recently received a letter from the California Employment Development Department, a form 6694, called a Notice of Form Delinquency. They want information from the last quarter of her payroll. so I went back to my QB account to retrieve it.

When logging into the QB account, the data was missing going back to September 2021. I need all the data after that and through 2022. I expected this data, which was from this period to be available to me. How can I get access to this data so I can fulfill the request from CA?

Also, as a side note, I am not seeing a full list of the employees I pad through the account.

Missing QB data

You can run a Payroll Details report in QuickBooks Online to see any missing payroll data, @SHPoway. I understand its importance and I'm here to help you manage the payroll history and your list of employees.

To see the payroll history and your paid employees in QBO, I recommend pulling up a Payroll Details report. Some employees may not appear in the full list due to being inactive or terminated, but they'll still be included in the report along with their pay cycle.

Here's how to run the report:

  1. In your QuickBooks, click Reports
  2. Search Payroll Details in the Find report by name
  3. From the Payroll details, choose Custom and make sure to set the correct date you want to run.
  4. Go to Customise and select All employees for the Who to include option.
  5. After that, tick Apply.

However, if the data is still not showing, there's a possibility that you haven't recorded the payroll of your mother's caretaker in QBO. In this case, you can contact the California Employment Development Department (CEDD) to explain this matter as they can advise you on how to proceed. You can also gather all of your payroll information from 2021 which may include bank statements, check stubs, and other payroll records.

On the other hand, if you've verified that the payroll was entered in the QBO, you can check the audit log to check if there are changes made to your books. I also reach our support team to help you handle this concern thoroughly. They have the tools that can help assist you in obtaining and reentering the missing payroll data you need from the previous years. Follow the steps to contact them:

  1. Log in to your QuickBooks Online company.

  3. Select or type Contact Us.
  4. Start entering your concern, then select Let's Talk.
  5. Please choose a way to connect with us:

On the other hand, you may also review the payroll tax payments you made in QBO. As an additional guide for this, see this reference: View your previously filed tax forms and payments.
