Workforce for QB Desktop

Hi I am running 2023 Desktop QB Pro Plus and have turned on Workforce. I have invited my employees to access their w-2's and paystubs but how do I allow them to clock in and out and how do I see that info on my desktop version?

Greetings, mkgpdx. I see you want your employees to clock in and out. Then, you can view the information in QuickBooks Desktop. I can guide you with details and a workaround to help you achieve this goal.

 

Please know that QuickBooks Workforce is used to invite employees to view and access their pay stubs. Each time you run payroll, employees invited will get an email letting them know they can view them online. It does not have a feature that allows them to clock in and out. 

 

To achieve your goal, you can use QuickBooks Time. This product offers a time-tracking feature that lets employees clock in and out. Once you have set this up, you can integrate both products to view and manage your employee's time data more efficiently. 

 

Before proceeding with the integration, ensure your QuickBooks Desktop is updated to the latest release. Then, let's check if your file is compatible by pressing the F2 key on the keyboard. Look for the Versions Used on File and review. If you see a date of 2020 or older at the top of the list, you must use the web connector.

Thanks that was helpful. Now I am wondering if I have different pay rates in my quickbooks payroll can I get those options to show up when my employees clock in and out on the app?

It's possible to enter the employee's rate in QuickBooks Time (QB Time), mkgpdx. I'm here to help you and your team achieve this.

 

If an employee is marked as Billable in the QB Time app, that individual will automatically have a billable hour/rate once downloaded into QuickBooks Desktop's system. 

 

To enter the employee's billable rate in QB time, kindly refer to the steps below:

 

  1. Open the QBO time and select Time Clock.
  2. Select a Service Item. Example: Hours.
  3. Choose Yes on the Billable field.
  4. After that, enter their Billable Rate.
  5. Once their shift is over, press Clock out.

Workforce for QB Desktop

Thank you for your help. On the Track Time tab on Workforce I don't see an option for service item. What I am looking for is there an option to assign two rates for one employee that they would pick between when clocking in or out?

The option of adding two rates for one employee is not available in QuickBooks Desktop. To add this feature, I recommend sending a feature request to our product developers to let them know your request about adding two rates for one employee.

 

Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon at the top, then Feedback
  3. Enter your comments or product suggestions.
  4. Press Next.

 

Once done, our designated team will review it. You can track your future requests through the QuickBooks Online Feature Requests website.
