RESET / CORRECT PTO TIME USED

Our PTO policy is .7 hours accrued per 40 hours worked, up to 40 hours per anniversary year. Unused time rolls over to the next anniversary time available. It is my understanding that QBO resets the time used annually.  I want to manually reset an employee's time used. Is that possible? If so where?

 

This is an issue when an employee has time unused time on their anniversary date. Let's say an employee has used 30 hours and has 10 hours of PTO available on their anniversary date. They are capped at 40 hours so they are not accruing any PTO time.  The AVAILABLE BALANCE should still be 10 hours, but the time used should be zero.  How can I do this?

RESET / CORRECT PTO TIME USED

Manually resetting your employee's time used in QuickBooks Online isn't currently possible, Kris P1.

 

Editing this in QBO is unavailable since it depends on the corresponding paycheck you've processed. If you want to change it, you'll have to directly adjust the information on the paycheck itself so that it will be updated in the time used. 

 

It is important to note that QBO will reset the Paid Time Off (PTO) used after all of it has been used up but if you still have a balance, you'll have to manually modify it.

 

In the meantime, you can manually change it in the Current balance in the Paycheck method. Let me walk you through how to do it.

 

  1. Go to Payroll, then select Employees.
  2. Click the employee's profile.
  3. Under Profile, go to Pay types and click Edit.
  4. In the Time off pay policies dropdown, edit their paid time off in the Current Balance field.
  5. Hit Save.
