Saved W3 pdf file will not open / or is blank

In QuickBooks Desktop Enhanced Payroll the auto-saved W3/W2 file opens as a blank pdf.

I know it was created, I printed it, but when trying to open it again it is blank. Where did the info go?

Hi, @KJ-10. I can see you're experiencing an issue with your W3/W2 PDF file opening up blank after it has been auto-saved by QuickBooks Desktop (QBDT)  Enhanced Payroll. It appeared to be working fine when you printed it initially, so I can see why this is concerning. Let's dive into this issue together and find a solution for you.

 

First, it's possible that the file you're opening is a different file other than the one that was automatically saved. When the W3/W2 form is printed, it's usually saved locally in the designated folder named [Your_Companys_FileName] Tax Form History in the same directory where your company file is. To confirm this and access the file, follow these steps:

 

  1. Open your QuickBooks Desktop (QBDT), and then, press F2 key on your keyboard.
  2. Under the File Information section, highlight and copy the directory location just before the company file name.

  3. Open windows file explorer. Then, paste the directory text.
  4. Click on the applicable folders to locate the W3/W2 file.
  5. Locate the W3/W2 form file at issue and double-click to open.

If it's still showing blank pages with no information, let's consider the possibility of this being a PDF viewer issue. Since the file has been printed, it should also be available in the Saved Filings tab in your QBDT and we can access it from there. Here's how:

 

  1. In your QBDT, go to Employees, followed by Payroll Tax Forms & W-2s.
  2. In the Filing History section, select Saved Filings.
  3. Click on the PDF file under Saved PDF column.
