time not showing as billable

When I go in to approve time in quickbooks time sheets, I see a list of all the time for an employee (see attached), but none of the time is marked as billable despite the fact that I have allocated it to a project and put in a payrate.  the instructions here say I need to flip a switch to mark it as billable but I don't see any such switch in the time entry area: https://quickbooks.intuit.com/learn-support/en-us/help-article/invoicing/enter-billable-time-job-qui...

time not showing as billable

Hello Chaya143,

Thank you for posting here in the Community. I'm here to help you mark a time entry as Billable in QuickBooks Time.

Enable the Allow Time to be billable option first in QBO if you've linked your QuickBooks Time (see screenshot below). This way, the Billable field will be available when entering time entries.

After reviewing your settings, go to your QuickBooks Time and manage the customer information to determine if the field is available. You can refer to these additional screenshots for your visual reference:

time not showing as billable

I have billable time set properly, and this has been working well for some time. However, I have several time entries that are not showing as suggested transactions, so I can't add them to the invoice. When I look at the transaction list, these are marked as Converted. Other transactions are marked as Open or Paid. What does  Converted mean? I think this may relate to my not being able to add them to the invoice. I have found many questions related to unlinking these billable charges, but not how to undo this action.

I would appreciate any assistance.

Thanks for getting back with the Community, jledbetterssi.

If you've already added sub-customers and turned on your Allow time to be billable setting, you can enter billable time through your Time tab.

Here's how:

  1. In QuickBooks Online, go to Time, then Time entries.
  2. Click Add time and choose a user you're adding time for.
  3. Use your Drop-Down Arrow (▼) icon to adjust the date range if necessary.
  4. Add a duration of hours worked, or turn on your Start/end times option to enter a start and end time.
  5. Hit Add work details, then use the Customer/Project ▼ drop-down list and choose a customer.
  6. To make your timesheet billable, turn on the Billable (/hr) switch. This should be the switch you were looking for in your original post.
  7. Add any other necessary information, then click Done.
  8. If you need to add more timesheets for the employee, hit Add and repeat your steps.
  9. When you're finished, select Save and Close.

After recording billable time, expenses and timesheets can be added to invoices.

I'll be here to help if there's any additional questions. Have a lovely Tuesday!
