Time Tracking & Payroll Allocation by Location

Hello,

I'm working with a non profit client that does conservation work and they have many "projects" (not in the QB sense) happening at once. I'd like to track these projects using the QB "Location" tracking.

I was wondering if I could post payroll expenses by location, rather than set up qb projects. I'm hesitant to set up qb projects because they'll receive funding from multiple 'customers' for a single piece of land (location). Since qb projects are essentially customers in qb, this won't really work out.

We need to report the income and expense for a single project/location.

(the staff all call them projects, that's what they are, but in qb this has a specific meaning)….

I can't seem to set up payroll or time tracking to post those expenses by location, what am I doing wrong?

Time Tracking & Payroll Allocation by Location

Managing diverse projects, especially in a non-profit context, can indeed pose unique challenges, @Ryan R.

From your description, it sounds like you're seeking an effective way to track these multifaceted initiatives using QuickBooks' Location tracking feature. I'm here to assist you in navigating this intricacy and finding a solution that aligns with your specific needs.

For Payroll, you can set up and track expenses by class only. QuickBooks Payroll allows you to organize your data by department, location, or separate properties you own.

Step 1: Assign a class to your employees:

  1. Navigate to Payroll, then Employees.
  2. Choose your employee.
  3. From Employment details, click Start or Edit.
  4. Add your employee’s class in the Workers' Comp class field.
  5. Select Save.

Step 2: Set up your accounting preferences to track payroll expenses by class:

  1. Proceed to Settings ⚙, then Payroll settings.
  2. From Accounting or Export, click Edit ✎.
  3. Next to Class Tracking, Edit ✎.
  4. Select how you want to track classes.
  5. Select or enter the account name exactly as it appears in your chart of accounts for each employee.
  6. Select Continue, then Done.

For detailed information, you can check out this resource: Set up and track your payroll expenses by class.

I'm also sharing this link to help set up time tracking in QuickBooks Online:
Turn on and set up time tracking in QBO. This will help track and bill customers for the number of hours consumed in a project or activity.
