Tracking Unpaid Time

Is there a way to track unpaid time in Quickbooks? We want to be able to track when an employee has hit 80 hours of unpaid leave.

Tracking Unpaid Time

I'm here to help you in tracking it, Halvhearted.

 

The option to track unpaid time off is unavailable in QuickBooks Desktop, we can only track paid time off. Please know that this feature is only available in QuickBooks Online. As a workaround, we can create a customized payroll item for the unpaid time off then set the rate as zero upon creating the paycheck. This way, we'll be able to track the unpaid hours of that certain employees in your payroll reports.

 

  1. Select Lists from the top menu bar.
  2. Choose Payroll Item List.
  3. At the lower left of the Payroll Item List, click the Payroll Item button then select New.
  4. Select Custom Setup, and then click Next.
  5. Select Wage, and then Next.
  6. Select Hourly Wages, and then Next.
  7. Choose Regular Pay.
  8. Enter "Unpaid Time Off" in the name field, then select Next.
  9. Choose the expense account you want the item to track to, and click Finish.

Once done, you can just add this item when you create a paycheck for that employee and make sure that the rate is zero since it's unpaid. Then, we can pull your Payroll Summary Report to view to check the total unpaid hours. Here's how:

 

  1. Select Reports from the sidebar menu.
  2. Choose Employees & Payroll.
  3. Select Payroll Summary.
  4. Set the appropriate reporting date.
  5. Locate the employee, then check the total hours of the Unpaid Time Off item.
