Vacation Payout at Time of Separation

Hello community, I hope everyone is doing well and staying safe.

We are a CA company and required to payout funded (vested) and accrued vacation to employees at termination. I have an employee who was recently terminated. 

He had 88 hours of vested PTO time at the time of separation.

Our vacation accrual period starts 6/1 and at the time of separation, he had accrued (not yet funded) an additional 104 hours. 

Company policy states that the cap is 20 weeks (160 hours) 

So, my question is do I payout up to the cap of 160 hours or should it be 88 + 104 = 192 total hours even though that's over the allowed PTO cap?

I appreciate for sharing with us detailed information about your concern. Since the vacation hours accrued by the employee are beyond the cap, I suggest consulting with a tax adviser for further assistance.


They can provide advice on how to account for vacation hours in QBO. Making sure it complies with the state and company policy.

 

Once you have the information handy, let’s create a check for the employee. The steps are quick and simple. Here’s how:

 

  1. Go to the Workers menu on the left panel to select Employees.
  2. Hit the Run Payroll button in the upper right hand.
  3. On the Run Payroll page, mark the radio button for the correct pay schedule and then click Continue.
  4. From the list, choose the employee you're working on.
  5. Enter the time off hours and hit the Preview payroll button.
  6. Choose Preview payroll details or Submit payroll.
  7. Click Finish Payroll.
