Vacation Time Carry Over Limit

Is there a way in QB Desktop to have a maximum amount of vacation carry over to the next calendar year?  We have a policy that limits the number of hours carried over each year to 120.  At the start of the year, left over vacation time can carry over, but anything above 120 would carry over as 120.  So, if an employee has 150 hours on 12/31/2023, they would only have 120 hours starting on 1/1/2024.

Thanks,

Rich

Vacation Time Carry Over Limit

Hello Richlux,

Thank you for getting back to us here in the Community. I'm here to help you with your concern about the Vacation accrual in QuickBooks Desktop.

Currently, the option to set a limit for the carryover is unavailable. As a workaround, you'll need to calculate and edit your preferred carryover manually for the vacation time.

Additionally, the accrual of your vacation time depends on your setup of the time-off policies. I've attached an article you can use to learn more about setting up and tracking time off, vacation, and sick pay for your employees: Set up and track time off in payroll.

Vacation Time Carry Over Limit

Warm welcome, @richlux. I'm here to help you carry over the maximum amount to the following calendar year.

Before anything else, please know that the option to set a limit for the carryover is currently unavailable in QuickBooks Desktop. On the other hand, you can manually set your desired carryover for vacation time.

Let's make the maximum number of hours to accrue twice the amount of the accrued hours per year.

  1. Hover to Employees, then select Employee Center.
  2. Double-click the employee, then click Payroll info.
  3. Go to Sick/Vacation
  4. Type in the maximum number of hours to accrue twice (for example, 120 to 240)
  5. Once done, select OK

I've included a screenshot for visual reference.

Moreover, if your sick and vacation time don't accrue on paychecks, you can refer to this article to learn how to correct them: Fix incorrect sick and vacation accruals.

You can click the reply button below if you need assistance setting up the employee vacation time. I'm always available to lend a hand.

Vacation Time Carry Over Limit

Thanks for the reply, but I don't think that will do what I need.  If I do that, it would still allow someone to carryover any amount as long as the total didn't exceed 240 (e.g. someone could carry over 150 hours).  While we allow employees to accrue up to 240 hours in a given year, only 120 of those can be carried over.  So I need the carry over limit to be 120 and the accrual limit to be 240. Does this make sense?
