Buy now & saveI have two final paychecks that should have been dated 01/01/2025 but instead were dated 12/20/2024. The checks have of course cleared the bank and were reconciled months ago. I need to void them and re-write with correct dates.
@ekusie Is there a particular reason you want to change the year these were written in?
Asking as you'll most likely need to amend several payroll returns for 2024, including W-2s they may have already used to file their income taxes, along with your voiding process here.
That being said, it'd look more than a little silly to void a check that has already cleared.
@Rainflurry For the record, I'm bowing out of this one early, so no need to hesitate on my account; lot of stuff to unpack here.
You can void a paycheck from a previous year, but this will affect the initial transaction in your records, Ekusie. I'll provide more details below.
As FishingForAnswers pointed out, changing them would require amending several payroll returns for 2024, including any W-2s already used for tax filings. This action will affect your financial statements and general ledger, impacting your year-end reports.
If you need to void the checks, it is advisable to issue a replacement check without changing the original one. I recommend consulting your accountant, who can offer expert advice on handling past payroll transactions and keeping your financial records accurate.
On the other hand, you can undo a bank reconciliation by selecting Reconciliation from the Banking dropdown and clicking Undo Previous Reconciliation.
When you undo a reconciliation, you'll receive a warning to back up your company file because of changes that will occur. It is recommended to create a backup and print prior reconciliation reports for historical reference before proceeding.
I'll add this article in case you encounter issues in your reconciliation process: Fix issues when you're reconciling in QuickBooks Desktop (QBDT).

End of 2024 year will not be affected by this, our final payroll for 2024 was processed and dated 12/18/2024. The first bi-weekly payroll of 2025 is dated 1/1/2025 and should include these two final pay hand-written checks.
Thank you for your help with this.
