Just migrated from desktop to online and not finding 2023 employee payroll history.

Hello there, Margaret . I'm here to share why you're unable to see your payroll info. 

 

When migrating to QuickBooks Online (QBO), there are certain limits when importing your files. One of these is the previous payroll history. However, you can still move your QuickBooks Desktop Payroll file to QBO Payroll if the information is within a current calendar year. 

 

Here's how: 

 

Step 1: Get your pay history info and set up your information

 

  1. Go to the Payroll menu located at the left navigation panel, and click Overview. 
  2. Ensure to add all of your employees who no longer work for you and set up their info such as pay items, deductions, contributions, and tax showing their pay stubs or reports.
  3. Next, to Add your payroll history, select Start

 

Step 2: Enter how much you paid your employees this year

 

  1. Click Enter next to the first employee. 
  2. Answer the on-screen questions.
  3. Use the employee pay stubs or payroll reports to enter the amounts in each column. If you’re missing an item, exit the history task and add it to your employee through the Tell us about your team task.  
  4. Once done, press Continue
  5. You can repeat the steps 1-4 until you're done entering your employees info.
  6. You can click Continue once you're done. 

 

Step 3: Enter the company totals for each payday

 

  1. Ensure you're done setting up. 
  2. Go to the Payroll located at the left navigation panel and choose Overview
  3. Press Edit right beside the Add your pay history option. 
  4. Click Continue until you get to the display Company payroll totals for this quarter
  5. Select Add pay date and enter your first paycheck date for the quarter listed. 
  6. Fill out the important information and press Continue
  7. You can repeat the steps above until you're done. When finished with all pay dates, select Continue.
  8. If you see a display: Paycheck history quarterly detail, your federal or state annual forms require totals by quarter. Use a quarterly tax liability report from your prior payroll provider to enter the amounts requested for each quarter.

If you can't use your old QB Desktop license anymore, purchase QB Desktop Enterprise Gold to open your old files to access historical data. Then you can request a refund within 60 days. Alternatively, ask a partner to provide a QB Desktop Enterprise Gold license to access your historical data for a short period of time. You don't need to convert your payroll data.
